Coordinates with the relevant personnel for the submission of Top Level Management Reports; prepares, consolidates reports and ensure its accuracy and timely completion.
Assists in the different phases of key departmental activities as and when required, i.e. technical seminars/presentations, training courses, factory visits and contribute in meeting the desired level of satisfaction; provides support in key Departments' functions and activities.
Prepares / composes drafts of correspondences covering instructions, updates, follow-ups and other forms to both internal and external recipients in behalf of the Immediate Superior(s).
Manage the office support activities in order to provide utmost and quality service to the RGM in his day to day activities.
Manage all lines of communication to and from the office of the RGM in order to ensure the timely delivery of relevant information / documentation in a timely and professional manner.
Manage in receiving and attending to the needs of visitors and special guest in order to provide utmost professional service.
Initiates PR’s and APR’s through the Oracle system for office supplies and equipment requirements of the department, monitors their status and follows up for the timely delivery of the items.
Maintain records and organizes files and documents including electronic data through an effective and efficient filing and data management system for easy access/retrieval of information when required.
Studies and analyzes office material requirements to maximize their usage and value.
Ensures that material transfers and scrapping of assets/items are properly monitored and well documented.
Report directly to Project Director. Collaborate with various levels of management to gather information pertaining to key issues.
Communicate with external contacts to properly handle direction of business relations and distribution of company literature. Follow through with meeting arrangements as needed.
Organize details of off-site functions involving participants’ availability, travel arrangements and material preparation, i.e. correspondence, charts and slide presentations.
Assess assignments to determine the prioritization of work flow; Screen calls and mail.
Devise and maintain extensive filing system and corresponding cross-referenced list.
Provide full administrative support to the senior managers and direct reports.
Organized details of meetings, agendas, travel arrangements, itineraries.
Assist with word processing projects requiring extensive output of spread sheets and presentations.
Prepare All Correspondence for the Project Requirements.
Control, Monitor & Log distribution of Signed Confidential Documentation.
Preparation & Distribution of all Management Minutes of Meetings.
Coordinate with Industrial Security Department (ISD) for Employee’s ID, Vehicle Stickers, etc.
Control, Monitor & Record Project Transportation Requirements.
In-charge on monitoring daily time records of all office personnel.
Generate Weekly HSE Statistical Report.
Process Applications for Vendor’s Business Visas.
Manage allocation of IS Bravos, Radios and PPE Supplies.
Control Asset Management.
Responsible for receiving and distributing Mails/Courier.
Attend telephone calls and perform other duties form time to time.
Editing of inward regular/returned checks (EBC/ESB) included in the ICPS exception report and free/missing items
Balancing of over-all inward transactions
Prepare summary of unposted inward reports from detailed inward report and prepares charge slip against the erring bank for missing/free items
Manual checking of prime rejects against detailed list report from Philippine Clearing House Corp. (PCHC)
Balance and prepare transmittal sheet for various Head Office Units
Summarize the completeness of inward returned checks
