for the schedule and appointments of Stores Manager and to keep log of events.
•Prepare and distribute Monthly Stores Report, Raw Material Report, Expiring Items List, Slow and Non-Moving Items List etc. in consultation with the concerned staff.
•Ensure ordering and re-ordering of goods as per the forecast from the different department and to follow up with Purchasing for pending deliveries.
• Advise production department of the deliveries of new products form suppliers or of products with inferior quality.
•Advice section head of different department of any deviation in terms of quality and quantity discovered.
•Ensure that the minimum-maximum stock levels are correct and follow.
•Responsible for preparing and updating of daily receiving control sheet.
•Responsible for the distribution of all incoming and out going correspondence and to ensure that all communications are routed to concerned departments and staff.
•Responsible for stores files, updating and maintaining all correspondence and reports.
•Responsible for Handling ISO related functions.
•Check and calculate the entries of the staff time sheets prior to submission to Stores Manager for signature.
•Responsible for preparing Annual Budget of the Department.
•Responsible for preparing Vacation Plan, Employee Status, Monthly Duty Roster, Filling Weekly Time Cards etc.
•Responsible for making new forms, formats as per the requirement of the department.

e.g. counter stocks balance, stocks for delivery, electrical items for delivery/repair & pull-out, & served pull out).
•Preparing documents for mailing.
•Filling of delivery receipts, pull-out letter, & other documents.
•Performs additional jobs from time to time.
DUTIES/RESPONSIBILITIES
•Prepare and recommend approval of expenses and funding clearance on the payment of consolidation expenses for acquired assets booked with Assets Management Group.
•Recommend and implements suggestions to streamline existing operational procedures within the unit.
•Receives incoming mails, memo, documents, etc. address to property Administration Unit, Property management Division and/or Office of Vice President.
•Transmit and monitor outgoing mails, memos, documents, etc. from Property Administration Unit and/or Office of Vice President.
•Performs other duties that maybe assigned from time to time by the Group/Sector Head.
