Coordinate across the brand teams as well as production to ensure workflow is moving smoothly and ensure key due dates are met and papers are published on time.
Review the accepted manuscripts and ensure that all required materials (source file, figures, references list, etc) are available and compatible with the standards, to prepare them for the production teams taking into consideration the implementation of Hindawi’s in‐house style.
Coordinate, deliver and monitor flow of manuscripts between Authors, Editorial units and production units.
Communicate with management regarding production status on regular basis, stating major issues and advising solutions.
Develop training documents, procedural standards and production guidelines for staffs.
Communicate with the authors through the Manuscript Tracking System (MTS) in case of any inquiries needed.
Ensure that the figures sent by the author are editable using (Illustrator or Photoshop for images) and convert it if need be from any original extension to editable version.
Support the continuous processes development.
Guide and supervise junior staffs.
Maintain office services by organizing office operations and procedures; preparing payroll; controlling correspondences; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical tasks.
Maintain office efficiency through planning and implementing office systems, layouts, and equipment procurement documentation and processes.
Contribute to team efforts in accomplishing expected results as needed.
Coordinate administrative staff meetings
Perform treasury assistant functions and activities to the treasury department.
Assist and support treasury staff in physical cash counting.
Check, inspect and verify daily cash transactions.
Document all cash transaction activities.
Perform opening and closing of cash daily.
Prepare/coordinate the necessary documentation for the efficient, cost-effective and lawful execution of all export activities.
Coordinate cargo pick up/transfer. Monitor status.
Manage/update carrier/vendor rates. Obtain spot rates when necessary.
Communicate with overseas agents and clients in a timely manner. To include pre alert, rate requests, shipment status.
Track shipments and update customers/agents about shipment’s status.
Create and maintain customer files.
Customer invoicing and payable approval.
Audit files to ensure accuracy and completion.
