• Oversees and manages tracking of leases for the retail portfolio of the company which includes maintaining and updating different tracker sheets necessary for daily and weekly monitoring of lease status and progress reports (i.e. from the lease offer sent by the landlord, division confirmation, vetting of lease agreement, legal comments and approval notes, up to finalization and signing of leases).
• Prepares various leasing-related reports such as lease progress and performance updates, offers/lease contracts and renewals sheet, stores for action sheet, rent increment, rebate and savings sheet, rent to sales report, rent comparison sheet and lease masterlist data and information sheet necessary for internal meeting and review.
• Liaises with leasing team, legal and finance in sorting leasing related issues. Notifies the concerned party for identifying appropriate action on the pending leases and deliver results within a set deadline.
• Conducts manual follow ups supported by trail of communication to malls/landlords and internal divisions to make sure that the target time frame is met.
• Monitors incoming and outgoing documents through database management. Keeping up to date files including but not limited to correspondences, lease proposals/offers, floor plans/drawings, lease approval notes and signed lease agreement and ensures that up to date files are kept within the shared folder for easy access of the entire leasing division.
• Ensure copies of latest approved documents are dispatched accordingly and delivered to appropriate division and vice versa in a timely manner.
• In-charge of over-all Documentation, Archiving and Database Management for the entire leasing division.
• Assisted the leasing manager in carrying out mall leasing process including tenant prospecting, ocular visits, contract signing, lease commencement, etc. resulting in maintained and increased occupancy.
• Coordinated with owners/ tenants, contractors, engineering and mall management from the beginning up to the end of lease.
• Prepared contract of lease, lease renewals, notice of lease termination and pull-out, clearances and other relevant documents and correspondences.
• Monitored and updated reports concerning to lease and occupancy rates, vacancy reports, ingress and egress, activity reports, etc. on a weekly basis.
• Handled telephone and walk-in inquiries; attends to tenants’ leasing concerns and made sure that these are addressed properly and efficiently.
• Served as the primary business contact of interested clients/advertisers for media placement opportunities in the LED display boards of the company.
• Oversaw the LED sales performance by drawing in advertisers through leads generation, and phone inquiries; made sure that client advertising needs are addressed properly and efficiently.
• Coordinated with other departments involved in the process and ensured that all materials and documents relative to client’s transactions are accomplished on time.
• Handled existing and new accounts of the company with regards to the advertising needs of the clients.
• Offered products and services of the company such as advertising placement, media equipment and creative services to the potential clients.
• Collaborated with multiple departments to prepare for weekly plans including schedules, presentations, and required data for internal and external client meetings.
• Facilitated filing and clerical work including document review and preparation, drafting emails, memos, correspondences and maintaining corporate records and confidential files.
