• Support administrative and organizational tasks within the sales department
• Interact with different people within the company from Sales, Training & Marketing,
Operations to Accounting
• Responsible for meeting room planning and scheduling meeting calendar; updates sales
calendar regarding absence request and business travel
• Prepare sales meeting agenda and minutes
• Prepare training schedules and module for new sales employees.
• Maintain the overview of sales managers' agenda for Middle East and Africa and then submit to the head office on weekly basis
• Arrange business travel booking requirements for Middle East and Africa sales team
• Register approved reseller in the system through categorized protocol
• Ensure database accuracy with updates as required that includes organizing of files both softcopy and hardcopy
• Provide standard letters and certificate to the resellers as required
• Enter and process internal orders and free product requests
• Monitor and order office supplies for sales department.
• Prepare and submit various sales reports and keep sensitive information confidential
• Support marketing activities that includes as follows; controls demo inventory; fulfill all
incoming and outgoing literature requests; arrange travel booking requirements for tradeshow;
prepare products and materials for tradeshow; and ordering business cards, name badges and uniforms for the sales team
• Provide back-up support in administrative tasks for the Extron Institute (training program)
• answers telephone calls courteously, screen callers, convey messages properly, and greet
visitors and clients politely
• coordinates office activities and meetings
• maintain meeting room schedules and advocates, legal consultants' and PRO's
appointments/office calendar aiming at avoiding overlapping of appointments/schedules
• maintain records through systematic filing, encoding, updating, retrieval and destruction
• preparation of reports through utilization of computer skills (graphs, tables, spreadsheets,
emails statistics, databases, etc.)
• identify key clients and develop effective client relations to create repeat and continued
business
• updates internal and external clients on timely basis through sending routine correspondences
• obtain required information thru utilization of available resources
• receives, opens, sorts and screen mails and emails
• determine the requirements of clients through the prescribed protocol contain clients in different situations
• assist the advocates, legal consultants, office manager, PRO and partners in their technical and administrative requirements through utilization of secretarial skills
• achieves or exceeds personal sales targets
• identify key clients and develop effective client relations to create repeat and continued
business
• attend sessions on product knowledge and sales training
• maximize sales by advising customers on further purchases
• support the manager in implementing new initiatives that are relevant and promote
organizational growth through sales activities
• support the manager in applying key trends in the market specifically for sales activities for the organization and define the relevance to the organization in adopting and applying new trends in the company
• adhering to the standards of operations and support the manager in achieving the departments
goal
• assist in visual merchandising of store
• maximize sales by utilizing client database and effectively develop professional relationships
• ensure security procedures for merchandise are observed at all stages in the sale process
• conduct store orientation for new employees
• provide feedback on customer preferences and buying behavior to line manager
• ensure manpower scheduling makes optimal use of resources
• attend as required and always contribute to regular line management and team meetings
• carry out assignments as directed by line manager
