Logistic Officer
1.Follow up of the maintenance work of the MSF premises, houses, office and warehouses.
2. Arrange and supervise external contractor on rehabilitation and maintenance works including painting, plumbing, electricity and relevant equipment’s (e.g. generator, UPS, water pumps, Exercise machines, lifter machines, etc...)
3. Perform the physical inventory.
4.Check the utility bills status, confirmation of the reading and submission to the finance to have timely payments.
5.Briefing to the new expat staff regarding the maintenance request and facilities requests and staff under supervision.
6.Filing of the agreements, contracts, quotations, warranty cards.
7.Ensure the safety and security of MSF premises and staff.
8.Ensure the Fire extinguishers are present at every assigned location and smokes alarms are working fine and monthly check up are done.
Fleet Management
1.Plan MSF Vehicles and Generators services are done on time at workshop.
2.Ensure effective and efficient usage of MSF vehicles.
3.Arrangement of rental cars in case there is no MSF car available and follows up the invoices received after the job.
4.Ensure that all the required documents are present in vehicle file, Insurance certificate, road tax, vehicle registration, contact list, location map etc...
Implement procedures to ensure and to monitor that all drivers properly record problems, damage, or accidents in the vehicle logbook, and report to the mechanic for repair and to the supervisor.
5.Ensure the vehicles, generators refueling and security fuel stock.
6. Fuel Invoices of the fleet cards are cross checked with the PSO
(Pakistan State Oil)invoices and submitted to Finance department for on time payment.
7.Prepare monthly fuel consumption and service report of vehicles and generators.
Staff supervision
1.Supervision of guards, drivers, gardener and Radio/Telephone operators.
2.Final responsibility for the Radio operator, Drivers & Guards rotation schedules, presence, absence and holidays, job appraisal, coaching and development, disciplinary measures.
3.Organize team meetings to organize the work.
4.Ensure clear objectives are fixed and regular performance appraisal are performed
5.Prepare Islamabad monthly logistics report LRT
6.Prepare Monthly Annual leaves overview and planning for the next months.
7.Ensure that monthly fuel invoices, fuel vouchers, services reports, fuel consumption overview are filed.
Additional Support
8.Assist procurement department in purchasing and suppliers identification.
10.Ensure the monthly Communication tests are done of Thuraya and B.gan.
Supply Officer
1. Responsible to follow the supply chain supported by Logistics software.
2.Follow-up of the filing of the different documents (order requests, purchase lists, purchase orders, Quotations, Freight Manifest…)
5.Follow the Supply chain guideline
6.Give support regarding supply issues to the Project Log according to the need of the project.
8.To check the quality and the quantity of the received items according to the delivery and what is defined on the Project Order.
9.Monthly Supply Report, Monthly inventory.
10.Responsible for Bio medical Equipment.
11.Responsible for the training of Storekeeper & purchaser.
12.Identification, monitoring and maintenance of the medical and non-medical fix assets.
Warehouse Officer
1.Responsible for reception of the goods purchased locally or ordered from the capital (physical and software reception)
2.Keep updated stock cards at all times and have labels in front of each item, organized by family.
4.Planning of needs and order of consumable material.
5.Responsible trimonthly food order, Hygiene order, stationery order, credits cards order for expat house, office and Hospital.
6.Consumption & Calculation of Vehicle / Gen-sets Spare parts & Lubricants and its stock follow up.
7.Monthly stock report.
8.Manage daily workers, loading & off-loading in warehouse.
