Report and assist directly to the Sr. Projects Manager regarding the day to day works.
Manage all incoming and outgoing correspondence to ensure all received by intended addresses.
Scan and email the documents to Engineers in office branch for updates.
Circulate the documents from Senior Project Manager to Site Team, for effective coordination.
Prepare various documentations for submittal. Maintain all files and documents in good organization.
Prepare and keep records of quality control reports and accounts receivable invoice requests.
Manage/arrange shipping documents (collect, prepare cheque, TT / LC requests and submit to accounts, submit the documents to clearing agents, follow up for the delivery of the materials)
Coordinate with the engineers for the delivery schedule of materials at site.
Prepare the local purchase order. Handle material indents and payment vouchers.
Manage all documents for filing. Keep and update confidential documents.
Welcomes visitors by greeting them, in person or on the telephone. Directing them to the correct person or department by maintaining employee and department directories.
Answer telephone calls, screen and direct calls to concerned departments.
Provide information to callers, take and relay messages. Respond to public queries.
Assist in the planning and preparation of meetings, conferences and conference telephone calls.
Ensures knowledge of staff movements in and out of organization.
Prepare letters and documents. Sorting and distributing post.
Arrange and check invoices, utility bills (DEWA and Telephone).
Booking transport, travel, and hotel; organizing meeting rooms. Maintain appointment diary either manually or electronically.
Maintain the general filing system and file all correspondence. Develop and maintain a current and accurate filing system.
Maintain an adequate inventory of office supplies. Monitor the use of supplies and equipment.
Provide general administrative and clerical support.
Provide excellent customer service.
Answer to the queries of the customers in an ethical and informative way.
Consult the customers about their product or service needs or their wants and give demonstrations if necessary.
Make promotions for the displayed products and make the customer aware of new offers, discounts, etc.
Make the customer aware of the practical use of products.
Maintaining eye-catching effective displays within the clinic.
Ensure that all in-clinic documents are archived properly so as to facilitate easy retrieval when necessary.
Perform general clerical duties to include but not limited to photocopying, faxing, mailing and filing.
Assist our clinic manager of her day-to-day reports and monitor all machines & equipments inside the clinic.
Perform facial, body scrub, foot spa, waxing, & other services of the clinic/spa.
Encode client requests like: letters, reports, thesis and projects of students.
Performs administrative tasks such as word processing, filling out paperwork, and maintaining records and files.
Storing and filing completed information and maintaining records of work tasks and completed documents.
Follow certain instructions and procedures and direct questions to supervisors.
Responsible for answering phones and making copies for other employees.
Assist patients admitted in the hospital's emergency room (checking vital signs).
Provide basic health care to emergency room patients under the supervision of nurses and physicians.
Monitoring and maintaining emergency room equipment, stocking supplies, keeping the workspace clean.
Assist the Doctor when roving inside the clinic. Prepare the room for the patients.
