• Entering monthly attendance (employees’ timesheets) of around 1, 000 staff/workers from various project sites using SAP System which includes all timedata infotypes such as absences, lates, overtimes and costs allocation
• Generating/printing monthly attendance report
• Running monthly time evaluation to generate and update leave balance for each employees
• Processing timesheets of employees going for vacation
• Maintaining company logs/registers such as outgoing correspondences log, incoming documents/faxes log, visitors log, short day leave log, etc.
• Preparing / Filing of company correspondences such as e-mails, faxes, transmittals, request for quotations and purchase orders
• Duties also includes some logistics works such as maintaining drivers and sites schedule as well as scheduling of documents collection and dispatch
• Handling incoming and outgoing faxes and phone calls
• Responsible for all front office activities when assigned at the reception area
• Layouting and printing of all printed matters such as government form, calling card, letterhead, envelope, brochure, memo pad, rx pad, greeting card, certificate, diploma, sticker, social form, ticket, sample ballot, invitations, school/company ID, newspaper, school organ, receipts, invoices, flyers, etc.
• Entertaining phone and walk-in inquiries, receiving and sending fax
Starting November 2002, I was assigned to do the following additional tasks:
• Encoding, updating and maintaining clients and suppliers record
• Recording of daily income and expenses, preparing weekly/monthly income and expenses report and filing of office documents
• Computing and issuance of salaries of all personnel
• Facilitates daily Internet Laboratory operations
• Making of Internet schedules for all students
• Teaching and assisting students in browsing the Internet
• Teaching students in creating free email account and in sending email messages
• Installing Windows, MS Office, Internet browsers and other Internet software
• Arranging of books based on call number
• Layouting of library forms like Borrowers Card, Date Due Slip and Book Card
• Assist the Librarian in processing of books
• Handling tutorial classes in Windows, MS Office and Internet applications
• Works with the marketing department in conducting Career Orientation Seminar (COS) in various schools around Batangas Province
• Layouting of marketing materials and leaflets
• Encoding and updating of student information into School Operations Systems (Ulysses II)
• Handling tutorial classes in Windows, MS Office and Internet applications
• Printing and issuance of student’s statement of account
• Collection of student tuition and other school fees
• Issuance and validation of Official Receipt
• Conducting cut-off and end-of-the-day cash count
• Preparing of cash for bank deposit
• Printing of weekly and monthly operations report
