Responsible Logistician to the Jordan operations; act as an interface between mainly the Ecosec, Wathab and Health Department, in Amman Delegation and the Logistics Centre, LSC.
•Ensure that the ICRC logistics systems are in place and operational in the Delegation.
•To ensure accurate follow-up of the orders of the Jordan Delegation and their validation.
•To ensure, in conjunction with the LSC, that all necessary documentation and certification are obtained and where required transmitted to the requester in a timely manner.
•Provides logistics support especially to Medical Operation in Jordan and the region in terms of warehousing and dispatching
•Follows-up any quality problems especially for the Health and Ecosec.
•Manages in coordination with Warehouse Manager the Assistance stocks and other
•Provide support in the process of import/export permits of mainly the medical goods
•Insures all administrative filing of his/her unit
•Performs medical data collection, entry, analysis and reporting
•Manages the logistics information system (FSS or JDE)
•Ensure on a monthly basis to prepare, share and report the CDP-Forecast Planning
•Briefing and training of new health and logistics staff
Order Management
Receives, registers and reviews (medical) orders
Manages, maintains and daily updates the logistics information systems
Maintains the item database
Follows-up the medical stock item list in collaborations with Health coordinator
Acknowledges orders to the customer together with information on availability of items and expected delivery date
Regularly provides all customers with updated order status information
Establishes and maintains a file per requisition order, updating it with all correspondence, closes and files orders when they have been completely filled
Communicates with customers, answers to all messages and maintains a dialogue
Assures customers that all inquiries, requests, complaints and problems are taken seriously and treated as quickly and efficiently as possible
Issues RO according to ICRC procedures
Prepares the monthly order for stock replenishment
Participates in providing advice to health staff and logisticians concerning medical logistics issues
Follows-up all backorders with the medical warehouse and respective purchasers
Informing the medical purchaser or GVA of any backordered items for which there is no stock on order
Warehousing and Dispatching
Ensures proper storing of items according to pharmaceutical and ICRC requirements, especially regarding cold chain items
Visits regularly the medical warehouse
Ensures that cold chain equipments are working properly and that daily monitoring is in place
Ensures FIFO stock rotation
Monitors on a monthly basis expiry dates and submit to CoMed and CoLog a list of items with a short shelf life
Ensure that cold chain is maintained during transport
Ensuring that storage and transport of medical goods complies with pharmaceutical laws and regulations of the country
Prioritizes the warehouse and dispatch daily work in collaboration with Warehouse Manager
Supervising the work of the storekeeper and support staff (helpers)
Quality Control
Checks conformity of the received goods with the PO (dosage, origin, validated manufacturer)
Checks that the product corresponds with the Quality Certificates provided by the supplier
Ensures that quality certificates are available and maintain an efficient filing system
Ensures that medical products (drugs, medical materials and medical equipment) of good quality are supplied to customers by quality control and ensures that their quality is maintained throughout the supply chain
Ensures that batch tracing is possible
Inspects samples of all batches of arriving medical supplies and performs a quality control (kind of good, quantity, packaging, shelf life, labeling etc.)
Organizes return or exchange of rejected goods
Follows-up any claim reports from the field concerning quality with the respective supplier and maintaining a file with all claims
Reporting / Statistics
Issues claim report for missing items and losses/damages
Provides information and data for compilation of the monthly statistics
Prepares Medical monthly statistics for GVA
Maintains adequate filling and archives
Ensures that back up of electronic files are done on a regular basis

Briefs and trains new health and logistics staff
Obtains information on any new laws and regulations concerning pharmaceuticals
Develops and maintain a good working atmosphere
Proposes points to be improved for future
Ensures respect of internal procedures
Weekly backup of all essential computer files
Planning delivery timetables in coordination with the Suppliers
•Ensuring stores have enough stock; the safety stock
•Making sure suppliers have enough stock to meet our demand
•Check the ordering and packaging that meet the storage conditions
•Organizing shipments and orders according to the Delivery Plan compared to the Forecast
•Prepare Orders and arrange the purchasing with the Suppliers
•Coordinating vehicles, loads and shipping modes
•Negotiating and Agreeing contracts with the suppliers
•Providing control and follow up service for the suppliers to track their shipments through the Shipments' tracking system
•Planning for and negotiating technical difficulties
