: * -Coordinating with agents, property supervisor and clients preparing schedules to ensure maximum coverage and customer satisfaction.
* -Managing contracts and documentation signing, system updates and reporting, registration of tenancy contract and ensure the operation is as per Better Homes’ Policy in correlation with landlords’ policies and property management agreement.
* -Keeping up to date with the relevant rental laws set out to by RERA and any other guidelines by the land department, municipality and/or other relevant government authorities.
* -Manage monitoring of forwarded contracts/documents for signature, rejected contracts, pending documents etc. until it gets signed by an authorized signatory.
* -Efficiently manage all routine correspondence on mail, phone and liaise with office divers. Generate timely reports and corresponding analysis.
* -Ensure timely and efficient updates of all records on property management software including:
• Publish/add/update units including upload of landlord documents
• Tenants contracts and Supporting documents
• Following department procedure for all tenancy contracts and renewals including:
• New application screening and verification
• Registration of tenancy contract for Dubai Managed units through Ejari/DIFC.
• Approve renewals only based on RERA/landlord approval
• Prepare Ejari report and forward for reconciliation purpose to accounts. Follow up to top up
• Monitor renewal notification sent by property supervisors. Send reminders for notifications not sent.
• Assisting walk-in customers and existing tenants for leasing the properties.
• Assisting existing tenants to renew the leases and processing the payments.
• Raising and renewal of Ejari certification and Ejari Tenancy contracts.
• Managing tenants queries on maintenance concerns.
• Preparing new leases and processing documentation & payments.
• Follow up with the existing tenant for lease renewals.
• Follow up with the customers for new leases when a unit becomes available.
• Updating the system by uploading all the relevant documents for new leases and renewals.
• Follow up on the payments and returned cheques.
• Checking with HOD Admin and seeking Admin Supervisor’s approval for all direct registration requests from the Property Supervisor and/or Property Administrator
• Ensures Ejari fee payment is done prior to processing any registration, which includes processing the registration only after clearance of Post Dated Cheques (PDC)
• Effective prioritization of Ejari registrations including:
• Completing New Lease registration within 24 hours from email request date of HOD Admin.
• Proper monitoring of all managed properties by Better Homes LLC in the Ejari portal including:
• Submitting Initial Management and Get Rental Approval requests for all newly acquired properties
• Submitting Management Contract requests for all newly acquired properties and renewing the expired ones
• Termination of Non-managed properties.
• Keeping a comprehensive and accurate record of all Ejari registrations done on a daily basis
• Managing the Ejari Top Up funds including:
• Preparing the Ejari Reconciliation Report to be submitted to Accounts department every Bi-weekly.
• Following up with Accounts department, ensuring the funds are received on time.
• Transferring and monitoring of funds in Noqodi.
• Coordinating with DLD, RERA, and ERES for any Ejari related concerns via email, phone call, or visiting their respective offices when necessary.
