HR Generalist
Responsible for administrating HR-related functions, and answering employees' inquiries.
Administrating employee onboarding and off-boarding documentation process including visa, medical tests, ID, hiring documents, and cancellations.
Support new employee for the leave system process, letters, policy clarifications, time management.
Participate actively in the planning and execution of company events
Enter data into the HR system so that accurate records are maintained.
Manage the absence recording system and medical certificates.
Administer the probationary review periods and ensure timely completion of the same.
Developing and implementing HR policies and procedures, and ensuring their effective communication and enforcement to maintain a healthy, productive working environment.
Manage the leaver/ employee exit administration process i.e. collection of access card, parking card, sim card, laptop, etc. and accordingly cancel SIM card contracts, access cards, etc.
Contribute to the successful execution of company strategy for support to all offices.
Talent Acquisition
Searching for potential candidates locally and internationally to join Belson Holding Group.
Creating job posts and advertising on the relevant recruitment portals, locally and internationally
Servicing all leads efficiently
Ensuring build professional relationships with potential candidates
Carrying out face-to-face and online interviews in a timely and professional manner
Assisting candidates with relocation from overseas, when required
Prepare and issue employment contracts, renewals, and amendments as per UAE labor law regulations.
Manage administrative processes for new employees as well as when employees exit the company (work permit, visa, bank accounts, medical insurance, labor cards, and cancellation of the same)
Stay up-to-date by creating or edit company policies in line with the UAE labor law legislation
Coordinate and manage the team on all HR-related matters
Update and maintain the recruitment tracker sheet and records
Talent Acquisition:
• Responsible for full candidate’s database as CVs come in and arranges interviews. Screen and conduct interviews for Management as well as C-Level roles for face to face and/or phone/teams interviews.
• Engage to Key Business Operations to align functional work requisitions and requirements for internal and external hires.
• Identifies critical roles that have high demand and if where candidates are scarce in the market under the direction of Line Managers.
• Raise work requisitions into the recruitment system and obtain proper approvals (including monitoring and maintaining approval process), upload candidates and update the position/candidate status as it progresses
• Utilize recruitment platforms for Job Advert and referrals for sourcing candidates
• Conducting regular availability checks of relevant candidates and being a source of information for the recruitment team to quickly and easily identify suitable and available candidates
• Identify and execute the most appropriate assessment tests for any defined position.
• Finalize hire selection requests, collect interview evaluations and prepare candidate profiles for job offer and mobilization
• Prepare draft Job Offers for the selected candidates
• Prepare weekly/monthly recruitment reports - update and progress related to recruiting
• Arrange meetings with functional leads on regular basis
• Handle recruitment administration activities to complete the hiring processes
• Align with other HR functions by coordinating with Public Relation Officers (PRO), Talent Management team and Business Operations to ensure requirements and targets are met
On-Boarding & Induction:
• Assist hired candidates by obtaining relevant documents and share orientation pack program.
• Conduct screening and adverse media checks
• Perform other necessary checks using external website search engines
• Update with internal stakeholders to ensure the timely completion of the onboarding process
• Create HR induction for new joiners
HR Policies and Procedures:
• Draft HR policies, procedures that increase the company’s long-term growth and expansion speed
• Assist company's standardized disciplinary procedures and leave tracking system that align to company policy and UAE labour law and ensured consistent and fair discipline processes.
• Partnering with all line managers to establish an effective HR management process, providing expert advice and guidance on HR Policies and Procedures.
Visa, License & Legal Compliance:
• Supervised PRO transactions for visas, embassies, employment contracts, and examination with Health Authority of Abu Dhabi (HAAD), Dubai Health Authority (DHA), and Ministry of Health (MOH)
• Preparing an on-boarding and off-boarding for employment documents and visa cancellation
HR Operations & Administration:
• Deliver daily administrative coordination and HR operations..
• Administrating employee benefits such as medical insurance and yearly air ticket allowance
• Creating and maintaining employee’s files and records in electronic and paper form
• Dealing with employee’s complaints and service-related issues; liaise with the line managers when needed.
• Maintaining and updating employees job descriptions in partnership with managers and division manager
Payroll Management, Compensation & other Benefits:
• Responsible for maintaining monthly payroll for all staff including final settlements (End of service benefit) & annual leave pay, staff movement, promotion, transfers and other deductions
• Ensuring all payroll documentation is duly filed. Manage and support payroll monthly activity
• Maintaining and assisting Employee on medical treatment issues, holiday entitlement and daily attendance process, promotion, staff movement and salary benchmarking.
• Coordinating group insurance policies and premiums, update employee database with the required information, update addition and deletion of members.
Provide multi-level support for 1, 700 global teams in 17 offices assisting day to day operations in HR and administration.
Job Accountabilities
Responsible for gathering time records from offshore Employees and calculating hours worked and paid received for each
accurately. Ensure the time records were accurate and that any inconsistencies or errors were resolved ahead before the
payment is being released.
Addressing salary related queries & internal audit questions
Leave settlements & air ticket encashment
Gratuity and leave salary provision calculation for finance monthly
Payroll process & coordination with Finance
Personal action form inputs into the HRMS
Employee master updates in the EHRMS and folders
Address queries payroll related HR Helpdesk reverts
Assist in providing full off boarding assistance in completing exit formalities for departed employees.
Prepare and determine the full and final settlement for employees.
Liaise with Finance department in obtaining final approvals for settlements and distributing cheques to employees.
Assist employees in proving NOC, Salary Certificate, Salary Transfer Letter, Experience or release letter
Work closely with the PR team to ensure complete visa/labour cancellation for departed employees.
