• Front end processing of passports - includes checking travel details, stamping, courier details, checking visa category.
• Verifying visa application forms and other required documents.
• Entering the details of the applicant as per passport, checking supporting documents provided.
• Submission of applicant details and forwarding to the concerned embassy.
• Answering applicant queries and providing them with accurate information on visa application, informing them on concerned embassy rules and regulations.
• Booking appointments for the applicants.
• Informing the applicants of additional services provided by the company.
• Giving applicant updates on their visa status.
Answer and direct phone calls
Organize and schedule meetings and appointment
Produce and distribute correspondence memos, letters, faxes and forms
Assist in the preparation of invoices
Maintain a filing system
Order office supplies
Book travel arrangements
Provide general support to visitors
• Coordination of day-to-day office operations.
• Reviewing sale orders and coordinating it with the sales team to ensure on time delivery.
• Updating stock details as per customer orders using Unilever software.
• Data entry of billed invoices, delivery notes.
• Keeping track of payments, cash collection and pending payments according to customer agreement. Keep the cash book updated.
• Preparing monthly reports on sales activities.
• Typing documents and distributing memos.
• Handling incoming/outgoing calls, correspondence and queries both internally and with customers.
• Precise record keeping.
• Monitoring inventory and ordering supplies as necessary using the Unilever program.
• Setting up and coordinating meetings and conferences.
Receiving request for quotations (RFQs) from clients and fax to various suppliers to get quotations
Receiving quotations from suppliers and estate for requisition to clients
Place orders to the suppliers
Maintains and preparing office documents such as invoice, reports and data sheets
Correspondence and filing
Assisting visitors and handling telephone enquiries
