o Manages confidential and official correspondence, memoranda, appointments and meetings for the Operations Director;
o Attends and prepares Minutes of Meeting for the Marketing, Procurement, Production and Technical & Site Weekly Meetings;
o Attends and prepares Minutes of Meeting for the Eldiar Management Group Monthly and Quarterly Meetings and Eldiar Executive Group Monthly, Quarterly and Annual Meetings.
o Responsible for overseeing all facets of client contacts, call screenings, visitor meetings and file of correspondences signature for the Operations Director;
o Disseminates and follow-up the completion of the Operations Director’s Daily Tasks To-do to all Department Managers;
o Maintains record and verifies all Department’s Daily, Monthly and Quarterly reports submitted to the Operations Director’s office;
o Analyze and prepares the Monthly Project Cost Report of Materials, Labor, Site, Overheads and G&A;
o Conducts Semi-Annual Internal Audits for Quality Management System (QMS) ISO 9001:2008 and Environmental Management System (EMS) ISO 14001:2004 to all Eldiar Departments;
o Monitors and updates Eldiar Website, Depa Portal Announcements and other Social Media Advertisements; and
o Prepares and heads the committee for Eldiar Sports Tournament, Annual Party and External Social Events.
o Coordinates and arrange process of payments for tax services rendered by lawyers to clients;
o Prepares memoranda and prepares action list for the Lawyer Staff;
o Manages confidential correspondence, appointments and meetings of the Senior Partner and Staff;
o Assists lawyers in undertaking the regulation of various clients in the following national agencies: a) Securities and Exchange Commission b) Philippine Export Zone Authority c) Bureau of Internal Revenue and d) Local Government Units;
o Responsible for overseeing all facets of client contact, filling system, call screenings, accounts payable and receivable, employee supervision, correspondence and sales.
o Manages Senior Partner and Staff’s ORACLE attendance/accounts charging and other internal company procedures;
o Attends to all Senior Partner’s personal and business travel itinerary, flight and hotel arrangements; and
o Assigns work to subordinate personnel and gives instructions on work method and procedures.
o Provide administrative support to the Office of the Managing Director;
o Arrange and prepare appointments and meetings for the Managing Director;
o Maintains various Film records and prepares standard reports from such record;
o Verifies contract and documents of Film Talents and Artist checking for completeness and update records;
o Assist Film Production and AdProm in Artists’ contract signing, victory and farewell parties, advance screening and premiere nights;
o Performed administrative functions, including receiving calls, filing and copying; and
o Handles Petty Cash, input data for reimbursement of expenses.
o Encode Data of Voters’ precincts for the generation of CVL (Computer Voter’s List);
o Extensive research on local government projects;
o Updates on local government officials’ Records.
o Assist in Opening New Accounts;
o Prepare receipt of SSS payment. Log ITR payment;
o Re-organized Signature Card files, Checkbook and etc.;
o De-activate closed account in the system (with the assistance of Supervisor);
o Answers personal and telephone inquiries of clients or possible clients.
