Procurement Responsibilities:

• Evaluating Purchase Requisitions (PR) received from Projects and verifying that requirements are clearly stipulated, unambiguous and that relevant specifications are attached, whenever applicable.
• Reviewing relevant Contract clauses, to get a solid understanding of the requirements and which vendors will be able to fulfill them.
• Preparing and Floating RFQs to prospective Bidders within the company’s vendor list, Client’s vendor list, and/or any other qualified vendors.
• Liaising with Project Managers & Engineers and responding to vendors about technical queries.
• Evaluating proposals technically & commercially, and shortlisting 3 or more Bidders.
• Negotiating with shortlisted Bidders and recommending the most viable and most economical option.
• Verifying available budget for each item, and making sure not to exceed it.
• Ensuring that the specifications of proposed materials comply with the Contract specifications.
• Identifying cost saving opportunities without sacrificing quality or deviating from Contract specifications.
• Proposing equivalent or superior alternatives to obsolete or unavailable devices/components.
• Preparing letters of intent, purchase orders, and sub-contract agreements, according to the Terms & Conditions of the Main Contract and according to company policies.

Estimation Responsibilities:

• Receiving tender documents (Drawings, Specifications & Bill of Quantities) pertaining to Electrical Works from Tender Department.
• Reviewing tender documents and verifying that all information required for pricing are available.
• Preparing RFIs to clarify ambiguous BOQ items/specifications, and to request missing documents/drawings from the Client.
• Taking-off quantities from tender drawings.
• Estimating costs using recent purchase rates, taking inflation rate into consideration.
• Sending RFQs to vendors in case costs can’t be estimated or to get a more accurate/up-to-date estimate.
• Judging whether received quotations are exaggerated/undiscounted while relying on previous experience to ultimately arrive at the most appropriate figures.
