Hold various functions related to project document control system. (i.e., receiving submittal & transmittal, & maintenance of project document archives, document imaging, and reproduction and distribution. Responsible for receiving. different types of Documents and ensure that all submitted documents & all reviewed and signed documents (Submittals, RFI and Transmittal. Recording all incoming and outgoing correspondence, drawings, transmittal, RFI, Inspection Request, Memo's, specifications, minutes of meetings, other project documentation, etc., and file in accordance with the company filing system. Controlling the inflow and outflow of correspondence and proper documentation in order to avoid problems arising from non receipt of the recipient. Scanning of documents for distribution as PDF copies to designated recipients. Responsible in keeping logs update for daily receive / submission to the Project Manager. Assist secretarial works including making letters and preparing for making a copy of hard/soft copy of all the documents for the distribution. Responsible for distribution of documents to the designated concern person. Filing/Archiving of Documents (Hard/Soft Format), Logging all project related documents, preparation of issued documents (Letters/Transmittals/Reports), Issuing/Receiving All Project Documents. Assist Planning Manager for the preparation of Monthly Progress Report and Minutes of Meeting. Assist of planning manager to format minutes of meeting. Provide responsible and confidential administrative assistance to Project Manager and other Executives. Screen phone calls from customers and clients. Prepare and monitor attendance of department employees and maintain all documents (e.g., Paper & CDs, DVDs, etc.). Handle office schedules and appointments. Follow up and provide feedback on assignments given to staff. Reserve facilities for meeting and set up meeting rooms with equipment and necessary documents (e.g., agendas, reports, any other documents, etc.). Dispatch and receive office correspondences.
