• Obtaining quotes from various platforms and negotiate prices and delivery terms.
• Creating, sending, and monitoring stock, customer and VOR orders.
• In order to comply to Al-Sayer policies and procedures, verifying the Quotations, PR, DBM and the supportive documents prior processing the purchase orders.
• Analyze the part’s movement, on hand, on order, lost sales, workshop requirement and the future demand to create monthly replenishment stock for the major franchisees.
• Creating seasonal stock orders and ensuring the delivery before season commence.
• Update and upload the invoices details received from principals on SAP for part number, quantity, invoice details, rejection and/or alternations and inform sales department about FOB variances.
• Generating the insurance on time for all the orders and produce the report to insurance company.
• Proactively liaising between suppliers and staffs to resolve routing purchasing supply issues, ensuring an accurate and timely provision of supplies.
• Reconcile SOA, PFI from the principals and forward to Finance Department for initiating the payment.
• Handling day to day enquiries from branches related to P&I issues.
• Contacting with the shipping agents to receive the quotations for the ready shipments from various principals.
• Finalizing the best mode of shipment and the forwarder to make sure the timely arrival of parts.
• Arranging necessary documents such as COO, invoice, packing list, DA and the harmonic to the respective shipments.
• Follow up with shipping agents and clearance team to ensure shipments clear and deliver to WH on time.
• Preparing the necessary arrangements and documents to conduct the annual inventory.
• Reconcile sales, and stocks of all branches with warehouse stocks, prepare stock monthly report and following up the stock of the fast-moving items.
• Provide the ETA and the lead time survey report to the concern sales team.
• Prepare various reports related to purchase and inventory as per management request.
• Adhere to Al-Sayer Group policies and health and safety regulations.
