Work as a middlemen and liaise with HR department regarding site employees issues
Collating time card from the respective supervisors and cross check prior sending payroll
Arranging for quotation from local suppliers relating to all consumables and services
Making out price comparison report against quotations received for management approval
Creating and issuing PO’s/AMC’s to the suppliers/subcontractors as per approved quotations
Reconciling suppliers/subcontractors SOA in order to release their outstanding payments
Preparing and submitting invoices to client for all enhance works done in line with commercial agreement
Follow up with client on the pending payments for the overdue invoices
Preparing various reports such as weekly, monthly and management reports
Other admin tasks as and when advised by manager
Providing first class customer service to all customers with regard to employees deployment
Investigate and resolve customer frequent queries up to their satisfaction
Raising OAF, CRF, VRF based on client’s requirement in line with the commercial agreement
Advertise BU job openings with the help of recruitment team with strict deadlines
Coordination with Payroll team to ensure pay dates are met in line with clients agreement
Conducting HR Induction with new arrivals and explaining about the do’s and don’ts as per company policy in line with UAE Labour Law
Scheduling & Arranging different training programs for the nominees as per BU’s advise
Work as an intermediate between site employee and HR Manager with regard to their request like bank account opening, Medical test, EID process, PP withdrawal, etc...
Conducting exit interviews for the leavers with HR Manager support
Reviewing monthly debtors report and chase up with clients for overdue payments
Maintain up-to-date billing system as per company’s SLA and SOP agreement
Follow up, collection and allocation of payments
Complete all Recruitment administrative tasks as requested by management in an
effective and timely manner.
Recording & issuing training certificates for the nominees/trainees as advised by BU’s
Preparation and/or dissemination of HR Reports and documentation for Management review.
Maintains the HR filing system and effective coordination with relevant Admin/HR Managers
in respect of employee personnel files.
Maintain an accurate up to date filing system on share drive and to ensure easy retrieval
of information for the team.
Carries out and performs all other work and/or instructions and/or requests as may be
assigned from time to time by the Group HR Manager.
