Coordinate the activities of Document Control, including distribution & tracking of documents.
Assist with the implementation, management and administration of the department electronic document management system.
Maintain procedures for maintaining documents.
Attends telephone calls and gives information, takes messages or transfer calls to appropriate individuals.
Arrange conferences, meetings, presentations, conference telephone calls and travel reservations for department personnel.
Organize and maintains files (technical reports, documents, transmittals, inspection requests, material requisition forms, material receiving report, request for information, material transfer voucher, handling local purchase orders, preparing payment application to consultant, subcontractor payment certificates, store record, time sheet’s, handling petty cash, LOG’s, preparing of contracts, progress schedules, preparing presentations, co-ordination with contractors & client, medical reports, certificates, discharge summaries)
Composes types and distributes meeting notes, routine correspondence and reports.
Operate electronic mail systems and coordinate the flow of information both internally and externally
Prepare correspondence such as invoices, letters, complaints and responses under the supervision of the manager
Store, retrieve and integrate information for the dissemination to staff and clients
Maintain schedules and calendars.
