* Process Leave Applications, Residency Renewals and other HR related jobs for department employees.
* Coordinate with suppliers / sub-contractors by raising enquiries, creating Purchase Requests, receive-close Purchase Orders and receipt of materials / commence repairing assets.
* Create Purchase Requests for out-house service / repairs and parts / materials needed from local market vendors and route them to Procurement Department for raising Purchase Orders.
* Receive invoices from sub-contractors and local market vendors for requested services / repairs and parts / material.
* Receive-close Purchase Orders in system.
* Send invoice to Finance Department for payment.
* Transports vehicles to appropriate service centers for maintenance and repairs.
* Assures proper preventative maintenance and routine servicing.
* Ensures the proper receipt of documentation and dissemination of accountable documents.
* Handling assets’ documents and filing them.
* Co-ordinates and supports the Fleet Maintenance Manager/ Sr. Administrator on administrative tasks.
* Handle all the jobs related to trailers including reefers, flatbeds and Thermo King Units, be it Preventive Maintenance, Corrective Maintenance or Accident Repairs.
* Track Service and Inspection status of Thermo King Units.
* Create Work-Orders for these jobs.
* Create Purchase Requests for invoices of the jobs carried by sub-contractors.
* Ask sub-contractors to submit quotations for the major out-house repairs (query).
* Compare the quotations provided by sub-contractors and forward to Maintenance Manager for review and approval.
* Create Purchase Request for the approved quotation and route it to Procurement Department for raising Purchase Order.
* After the Purchase Order is raised, send it to the sub-contractor to start repairing the asset.
* Inform sub-contractor on arrival of Purchase Order and request to supply the spare parts.
* Receive spare parts / material and close receive-close Purchase Order in system.

* Asset Management: Responsible for the transport operations at the distribution center that requires coordination of fleet of over 1300 assets.
* Manpower management: Coordinate transport movement at the distribution center with drivers and transport personnel who originate from 25 countries. Oversee implementation of Drivers briefings prior to movement and resolves any driver’s issues. Receive, check and inventory AGILITY driver’s assets; verify and prepare documentation for Pre/Post mission.
* Quality Control: Well versed with operation Quality control procedures of various transport related activities at the distribution center. Ensures proper Quality Assurance / Quality Control inspections of basic issue items assigned to drivers is cleared and coordinate with the maintenance on any mechanical deficiencies with the assets. Well versed with the demands and functioning of the US Military Convoy system. Responsible for ensuring assets and drivers are in compliance with the stringent convoy requirements
* Provides drivers’ information to the Transportation Supervisor to facilitate a smooth Transportation Operation with regards to road conditions, routes, arrival/departure areas, arrival/departure times, and ease of access of AGILITY assets to the Logistical Support Areas.
* Any other related duties / projects assigned by the direct supervisor from time to time to meet the business exigencies.
Specific Responsibilities:
* Receive loaded assets (Trucks, Reefers, and Flatbeds etc.) in Convoy Staging Yard.
* Verify the details of the assets and driver details for the Convoy Push.
* Send Convoy Staging Yard Report to management every 4 hours.

* Receive US Army vehicles, coming from Iraq in the wash-rack yard. Brief the rules and guidelines for washing the vehicles to US Army personnel.
* After washing done and being passed by US Military Inspectors, guide the army personnel to park the vehicles in their destined area.
* Prepare MRO number for the mission, to be pushed from wash-rack to Kuwait Naval Base (KNB), prepare documents, arrange KMOI escort for the mission, brief the army personnel about the route, rules and guidelines of the missions and provide tips in case of breakdown.
