Main Duties:
• Human Resources Planning
o Developing HR planning strategies with line managers by considering immediate and long-term staff requirements
o Ruling the company internal systems and organizational company structure
• Employees Relation
o managing absence, disciplinary, grievances, sickness, salary, Bonuses etc
o Evaluate employee performance and satisfaction Company and Measure employee satisfaction and identify areas that require improvement
o Advising on pay and other issues, including promotion and benefits; administer payroll and maintain staff records
o Listening to grievances and implementing disciplinary procedures
o Interpreting and advising on employment laws; develop and implement policies on a variety of workplace issues
o Maintains employee-related data bases.
o Responsible of All Medical Insurances activity.
• Recruitment
o Recruiting staff by preparing job descriptions and job adverts; deciding on how best to advertise
o Shortlisting applicants for interview using a variety of selection techniques including psychometric testing Interviewing shortlisted candidates
o Analyzing training needs in conjunction with line managers; planning and delivering training, including staff inductions
o Manpower Planning, Recruitment & Selection
o Conducting Job analysis for each post in the company, also define the Job Description and Job Specification for every available role in coordination with other Departments.
• Payroll Management
o Planning compensation & benefits systems with internal and external data for every level of the company
o Monitoring the data entry of the whole staff to prepare payroll (add and delete staff payroll -- overtime work-- deduction and increases and all the other variables of staff-- Processing of annual increments-- addition account numbers for new staff )
o Monitor reports any variance between the budgeted and actual salaries and headcount
o responsible of payroll administration and to make all necessary co-ordination to efficient payroll operation
• External & legal relations
o Good knowledge of labor laws in Saudi Arabia and the Authority of labor disputes
o Strong knowledge in converting establishment into companies and all measures necessary
o Good knowledge in dealing with the Department of Zakat, CITC and the Ministry of Commerce such as the registration of trademarks and commercial agencies
• Administrative
o Responsible of all Company contract (rent, Contractors, Maintenance, ect.)
o Tracking all Official documents & Government license for Company Branch And maintain it a valid and compliant with government requirements
o Manage all Official Portal for company (MOL, Muqeem, Tam, CITC portal, Electricity Portal, My Services in STC, Mobily Business, GOSI, MCI)
Main Duties:
• Administrative
o Responsible for all office maintenance Contract & Maintain the private company tools (photo‐copier, printers, etc...)
o Coordination between departments
o Responsible for company private driver and office boys/girls & all admin staff.
o Coordinating with admin supplier (hotels, airline booking, etc.….)
o Business Cards preparation & all printing tools
o Support to departments dealing with the task of typing, mailing, and filing.
o Manage of account of the documentation details and every kind of information relating to products, sales, support, and cost of the company
o Monitor the work of back office personnel and supervises the performance of all department
o scheduling meetings
o Responsibility of reviewing and managing office budget and expenditure.
o Analyzes the attendance and regularity of employees in the organization.
• Human Resources
o Follow up on Screening and Recruitment of candidates according to the different needs at Ipsos Riyadh branch for all positions
o Follow up on preparation of all legal documents related to transfers of employees from other companies to Ipsos
o Handling all issues related to vacations, sickness, termination, resignation, and tracking attendance
o Follow up on Medical insurances
o Coordinate exit and entry visas for all expatriate employee
o Handling business trips and annual vacations for all employees
o Process loan applications for all employees
o Review and handle requirements for all new employees
o Process all letters from HR Dept. going to the employees and companies
o Preparing and fitting all the required terminations, Resignations transaction and making all the final settlements for that
o Finalizing all personnel issues for Riyadh Branch
o Follow up on the company important correspondences
• Accounting
o Recording all supplier invoices and handling payments
o Checking, delivering and following up all Riyadh based client invoices
o Handling banking transactions
o Follow up with clients for cash collection
o Follow up with Ipsos KSA departments for all financial aspects
o Record direct costs for all projects
o Record all provisions and accruals
o Purchase of all groceries, incentives and other related items needed for the business in Riyadh
• Job description
o Preparing sales and performance reports.
o Monitoring performance and ensuring target achieved.
o In charge of showroom sales personnel’s.
o Secure and closing deals.
o Follow up on deliveries.
o Handle customer complaints.
o After sale customer service
