Project: Phase 1A Heritage Quarter Project - Mushrieb Properties Responsible for Establishing, implementing, maintaining and updating document approvals such as shop drawings, material approvals, as built drawings, calculations, method statement, correspondences and other documentation related issues; Checking thoroughly the approval submittals against the transmittal (such as samples, soft copies, hard copies) for some discrepancies before receiving. Preparing submittal approvals through the online submittal (Autodesk Constructware), uploading the files, downloading, editing etc. and preparing submittals manually separately. Maintaining up-to-date database register logs (entering all submitted and received approvals) showing all the document details to easily identify the subject and that all information’s are properly logged with appropriate transmittals; Ensuring that the document control function is being performed in accordance with the procedures and in a timely manner; Hard copies and electronic messages are properly logged into the document control system and stored appropriately; and organizing a necessary filing and archiving of different documents for fast and easy traceability & retrieval. Ensuring accuracy and efficiency of all documentations as well as ensuring that any revisions or changes made to the documents is controlled and that only the latest file is in use. Scanning documents and hyperlink with the respective database register logs (soft copies of the drawings, scanned and other document approvals) for easy and hassle free retrieval. Coordinates and cooperates with the other staff, sub-contractor personnel, and consultants for the full progress of the work. To give secretarial supports to the assigned department in areas involving correspondence, records, reports, data files, etc. To dispatch service calls, answer the telephone and keep the office running efficiently. Assisting and training new and transferred employees as needed and requested. Assisting different departments and subcontractors with queries on documentation requirements and submittals. Ordering of office supplies, office equipments or spare parts, office furniture, and to ensure proper inventory. Preparing daily, monthly reports, bar graphs etc; Doing other administrative works as requested.
Providing administrative assistance to the plant manager, plant engineers.
Preparing draft and handling of all incoming and outgoing correspondences; Receiving, Logging, Scanning, Hyperlink and Distributing to the concerned employee/s.
Preparing Claims, Cost Reports summary, Daily/Monthly Reports, other summary reports.
Logging, Scanning and Filing of Material Requisitions (from sites & plant), LPOs, , Invoices, Job Cards and Scaffolding deliveries to the respective Access Database programs.
Registering and updating certificates to each Database Logs (such as Equipments, Operators, Passenger Hoist, Chain Sling, Etc.). Scanning and Filing.
Coordinating well with the plant engineers, foremen & store
Keepers for the material requisitions, renewal of certificates.
Performing all other administrative and secretarial duties as
Required and requested.
Controlled documents (the Project Document Management
System) is to ensure that all documentation within the project is handled, registered, checked, filed, distributed and disposed in a controlled, timely and cost effective manner.

instructions, etc. Assuring office is neat and stocked with
necessary tools for functionality.
Assists and train newly hired and transferred employees from
other branches to enhance sales skills and to grow with the
company.

Encoding, logging and updating the database register upon receiving new books, magazines, pamphlets.
Organizing small gatherings for lectures and open forums.
Handling requests for information and inquiries.
Filling documents, books, etc. and answer phone calls, respond to inquiries from public.
May assess the needs of the visitors and refer them to appropriate services.
Reviewing and proofreading documents for consistency in document formats and system concerns.
