To assist/support the Manager Fleet in all fleet associated projects whether structural or ad hoc across all SADAFCO to ensure that all company assets are in optimum working condition.

• Develop and standardize SADAFCO’s fleet’s specifications to ensure the right vehicles and equipment are procured and meet SADAFCO’s needs.
• Quality confirmation in term of any new asset is added to the fleet.
• Liaise with stakeholders on their requirements, and to plan required asset
replacements/additions in accordance with Finance guidelines.
• Assessment of defects and vehicle modification needs affecting capacity and availability of
SADACO’s fleet.
• Provide all necessary inputs for CAPEX preparation.
• Execute the agreed annual fleet replacement program which includes scheduling, evaluating,
and coordinating all supplier bid activities including ad-hoc requests as per SADAFCO
procurement policy.
• Provide effective support to the Fleet Department during new asset acquisition process and
develop project plans for fabrication and delivery of newly acquired assets.
• Monitor and execute all new fleet projects and responsible to ensure that all concerned staff
are fully trained in using the newly acquired assets.
• Ensure that all assets are registered in the ERP system in line with SADAFCO’s procedures
• Receive and deploy newly acquired assets to the regions.
• Collaborate with the Regional Workshop supervisors for inspection, testing and handover of
the newly acquired assets.
• Plan and execute assets relocation plan to ensure asset utilization, and upkeep.
• Phase out retired assets in line with SADAFCO’s established procedures.
• Evaluate the retired assets and provide estimated re-sale value to SADAFCO finance.
• Manage the weekly asset reports from Workshops
• Manage GPS system to ensure that SADAFCO’s fleet is meeting local regulations for existing,
replacement, and additional vehicles; and to ensure the system is operating as required, and
prepare the required reports
• Manage electronic fueling system to meet zero-cash fueling in line with SADAFCO’s financial
requirements, and to prepare monthly report for fuel consumption and expenses.
• Ensure recording of actual KPIs of the entire fleet in the internal system is done regularly and
analyze the performance data to decide on action for improvements so as do corrective actions are done timely. This would lead to getting better efficiencies from the fleet that would help to manage fleet costs more efficiently.
• Maintain, update reports as directed and required from the fleet management.
• Manage the different processes related to Asset Management, GPS and E-Fueling system
management i.e. invoicing process, systems management and reporting.
• Function as a direct contact to SADAFCO’s suppliers and service providers
• Maintain all assets contract service data and consult all relevant parties on existing and new
contracts which includes coordinating with internal stakeholders to ensure all contracts are
renewed as per timelines by proper contract tracking.
• Manage all lease vehicles’ existing contracts.
• Manage the third-party providers (suppliers) and other service providers’ invoices for EMS
processing and payment
• Coordinate with the payables team regarding payment processing and issues.
• Reconcile accounts for all third-party providers with Finance team.
• Maintain and update the technical data folder of all the equipment acquired by the fleet
department
• Maintain and update the technical information and supplier information in the appropriate
storage area accessible for the people concerned.
