To offer full administrative support to the CEO and manage the office environment by acting as the point of contact among executives, employees, clients and other external partners. Managing information flow in a timely and accurate manner. Format information for internal and external communication - memos, emails, presentations, reports.
Providing administrative support with ultimate responsibility and dealing with top-level managers in the organization. Maintaining executive’s agenda and assist in planning appointments, board meetings, conferences etc. Attending meetings and keep minutes. Receiving and screening phone calls and redirecting them when appropriate. Make travel arrangements for executives. Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders. Handle confidential documents ensuring they remain secure. Conduct research and prepare presentations or reports as assigned.
Managing large amounts of incoming calls and customer inquiries. Identifying and assessing customers’ needs to achieve satisfaction. Build sustainable relationships and trust with customer accounts through open and interactive communication. Meet personal/customer service team sales targets and call handling quotas. Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution Keep records of customer interactions, process customer accounts and file documents. Follow communication procedures, guidelines and policies.
