• Follow all relevant operation procedures and instructions so that work is carried out in a controlled and consistent manner
• Verify appropriate cost allocation for material issued, based on cost codes provided, to ensure that all costs are correctly recorded.
• Supervise procedures to ensure that all materials entering or leaving the stores are correctly classified and coded for identification and place of origin.
• Prepares standard and non-standard materials required for operations in accordance with activity and in liaison with User Department. Checks existing stocks and order quantities, packages and substitute items, operational back up to determine the Purchase Requests (PR’s) quantities. Revises delivery schedules, storage capacity and stock value.
• Propose new storage procedure for continues improvement in the work processes and efficiency.
• Advises and assists Commercial Department on problems with the inventory control.
• Ensure materials are endorsed with identification markings; supervise their stacking, binning and preservation, according to manufacturer’s instructions, and entry of completed documentation into the system.
• Maintains stock control statistics and prepares monthly and annual reports on stocks, stock movements and related activities to keep management informed of changes occurring.
• Ensure all activities are carried out in strict compliance with approved safety regulations in order to protect the health and safety of personnel and protect company assets.
• Co-ordinate with supply personnel in order to initiate materials orders to meet specific requests from local and out-station operational areas and to maintain effective minimum stock levels of regularly used items.
• Supervise the receipt of materials to ensure that delivery and purchase documentation correspond and that any non-conformance such as damage, wrong materials or under/ over supply is recorded and reported.
• Identifies suitable items / quantities stock agreements, raises MR’s and reviews with Purchasing Officers. Analyses Purchase Agreements (Blanket Stock or Price Orders), issues and adjusts core items stock parameters. Controls material manual.
• Identifies surplus, redundant or obsolete items and their subsequent disposal. Suggests such reviews for correction, rationalization and standardization for stock information and various other purposes as determined by supervisor.
• Inspect and strictly check all incoming and outgoing materials using the material specification catalogue, and approve the receipt and delivery vouchers.
• Supervise activities related to the issue and dispatch of materials, locally and to out-station locations, in order to meet authorized requirements of internal customers.
• Review present stock locations through the computerized inventory system for storage of incoming materials and locations of materials to be issued. Place orders for materials needed by the business.
• Co-ordinates with end- users, Purchasing officers on the availability of materials of major dry dock and raises urgent PR request to cover shortages of any critical requirements. Reviews non/slow moving stocks and recommends items for write off or disposal.
• Supervise and participate in regular stock checks and inventory reviews to reconcile materials holdings with inventory records.
• Deal with all queries regarding stock holdings and status and material information in order to ensure that stores capability in understood.
• Prepare reports on discrepancies observed, and actions to be taken as appropriate.
• Ensure proper housekeeping and for all areas and materials under Stores control to protect their asset value and facilitate activities.
• Check storage and work areas to ensure they are free of hazards, loose packing and damaged tools lying around.
• Receives Vocabulary / Catalogue Amendment Proposals (VAP) & Catalogue Alteration Lists (CAL’s) raised by end users, and makes necessary amendments.
