-Coordinate and follow-up employees’ accommodation lease formalities.
-Conduct supervision of maintenance work performed at the accommodation units.
-Fulfill the renewals and the release of the tenancy contracts procedures and documentation.
-Assist in required administration work.
-Carry on inspecting housing units before lease and ensure compliance of the checked units with TOTAL Abu Al Bukhoosh housing standards.
-Provide employees with housing units’ proposals in coordination with the market real Estates.
-Ensure that all employees joining the company comply with the government regulations and employment laws.
-Collaborate with the human resources-recruitment team and have full responsibility for all labor law related matters.
-Ensure documents are completed and received on time and ensure visas are approved.
-liaise with the relevant government departments with regards to visas, licenses and sponsorship.
-Provide documents to specialized typing centre (Entry Permit, New Residence, Renew Residence & Cancellation).
-Submit documents for Visa administration and Work permits
-Submit documents for Commercial and Trade Licenses business requirements
-Advise Management of best alternative work permit activities for staff in the processing of Visas
-Provide continuous updates in regards to the new rules in the governmental departments and the development of the visa process and procedures.
-Provide Visa Case Study on every visa type individually.
-Provide PRO Daily Report to the HR executive to update the recruitment reports.
-Record keeping & Monitoring of all applications submission for the visa.
-Follow-up employees Medical Tests as per HR requirement.
-Proceed with the formalities for issuing employees Emirates ID cards.
-Attend to local authority approvals, such as Trade Licenses, Chamber of Commerce certificates, Municipality licenses etc. (AUH & DXB and other Emirates)
-Represent the company at Municipality, immigration for visas etc. (AUH & DXB and other Emirates).
-Responsible for registering vehicles, renewals, paying-up traffic fines, etc (AUH & DXB and other Emirates).
-Attend to company car accidents; Insurance paper works etc (AUH & DXB and other Emirates).
-Data entry of security Passes ( New Security Passes, renewal of security & Cancellation of security passes)
-Contribute by presenting innovative ideas to develop business prospecting the clients well developed companies & regular customers.
-Ensure all the drivers ready for any transportation requirement.
-Monitor the Transportation Plan.
-Check-up drivers’ uniforms, cars, etc are complied with the code standards.
-Obtain replacements of cars or drivers at emergency cases such as accidents.
-Promote a healthy lifestyle.
-Monitor day to day working environment.
-Formulate and maintain procedures for systematic retention, protection, retrieval, transfer and disposal of personnel records and files.
-Attend to traffic accidents, Insurance paper works etc.
-Present the company at the Immigration, Municipality and labor department for visas etc.
-Follow-up vehicles registrations, renewals, paying-up traffic fines, etc.
-Ensure all employees abide with the safety regulations of the company.
-Promote a healthy lifestyle.
-Support continuous Risk Assessment of the work site.
-Report anomalies, incidents and accidents.
-Provide with First Aid as required.
-Monitor day to day work environment.
-Use of Adequate Personal Protective Equipments (PPE’s).
-Review and prepare HSE requirements.
-Ensure the proper Safety / Hazardous symbol i.e. (Exits, Danger, Fire, Etc….) is highlighted as necessary to guide the employees.
-Prepare the staff ready / standby for all emergency situations / evacuations.
-Regularize Fire Drill to create awareness.
-Coordinate periodical evaluation of Fire Extinguisher & Fire hoses on regular basis.
