- Arranging and scheduling meetings, and travel arrangements + accommodations
- Booking hotels for VIP visitors coming to Kuwait
- Carrying out all procedures to obtain a visa for employees
- Maintaining and organizing files and records, both paper and electronic.
- Coordinating and facilitating communication between the executive or manager and other team members, departments, and external stakeholders.
- Conducting research, gathering information, and preparing reports for the executive or manager.
- Screening and prioritizing emails, phone calls, and visitors for the executive or manager.
- Handling confidential and sensitive information with discretion.
- Assisting with special projects and tasks as assigned by the executive or manager.
- Managing and coordinating events and meetings.
- Developing and maintaining good relationships with internal and external stakeholders.
- Make all Secretarial duties and related issues.
- Make reservations for chalets by phone calls.
- Receive booking requests by phone and confirm bookings with them.
- Change bookings from dates to other dates on request.
- Know the prices and special offers of other chalets for the purpose of increasing our tenants.
- Send a monthly report to the manager to see the movement of the chalet rental.
- Maintaining a proper filing system.
- Secretarial duties and related issues.
- Handling incoming telephone calls for the Operation Manager.
- Schedule and coordinate meetings with the client.
- Follow up works assignments.
- Going out to the field with the Operation Manager and checking the available apartments for the clients.
- Handling telephone calls for the potential clients if manager is not available.
- End office work such as printing, faxes, phones and computer work.
- Business correspondence and correcting typos and grammar of the Director and manage documents and clarified.
