Responsible for carrying out Executive secretary, HR, Office Administration duties with excellent ability,
multitasking while setting priorities, managing deadlines, interacting with Guests/Clients, as well as
performing tasks with high level of accuracy.
Provide executive support to the GM as well as supporting to others in the firm.
Managing to the GM’s guests and various communications both internal and external (letters, invitations,
proposals, directives, etc., and determine their significance and handle dissemination accordingly).
Manage and maintain a well-organized calendar of activities:
- In-charge of handling meeting requests and invites.
- Arrange meeting schedules/appointments on and off-site.
- Arrange business travel engagements - flight booking, Hotel accommodation, car rental and all other
logistics as required by the GM.
- Overall in-charge of importing materials from China. Finding suitable Suppliers, Collecting Quotations,
Sample Checking, Dealing with Shipping and customs documents and clearance, etc.,
- Responsible for communication with Managers and Supervisors on behalf of the GM.
- Handle incoming and outgoing calls and ensure messages are relayed or routed to the appropriate
employee.
Perform other tasks:
► Independently handling all the business correspondence & secretarial functions.
► Preparing, maintaining and keeping confidential correspondences and reports.
► Preparing the employment offer and contract for the new employees.
► Prepare Circular and Memos for the department like termination, acceptance of resignation, end
of contract, transfer letters and salary certificates, service certificates etc.
► Receive and check daily attendance and sick leave / absence sheets, maintain accrued leaves of employees.
► Ticketing, Online reservation and issuance of tickets for employees and officials.
► Provide accurate word-processing support by composing and editing a variety of documents.
► Provide assistance throughout the recruitment process as required from India, Nepal, Paistan,
Philippines and Bangladesh.
► Reviewing the CVs of applicants & Selecting suitable candidates for interview and conducting
telephone interview.
► Handling visa applications process, attestation of Chamber Of Commerce, recruitment agreement,
Wakala authorization.
► Manage and sort employee files and ensure that they maintain minimum required documents.
► Assisting the management and other staff, Coordination among the departments
► Collecting Quotation, Screening & Selecting, Coordinating with Medical Insurance Company for issue
insurance cards for employees and their dependents.
► Contacting medical insurance companies and requesting for addition and deletion of
medical insurance cards.
► Issue/ renew Iqama, online Exit-Re Entry, Payments and other online services
