Duties & Responsibilities:
• Perform recruitment activities such as selection, interviews and selection of candidates;
• Handles the administration procedures of new joiners (offer/contract preparation, induction, and office equipment);
• Manages orientation of new employees to ensure a smooth transition;
• Participates in the preparation of correspondence, reports, trackers, disciplinary letters, confidential and other HR related documentation;
• Assess in the implementation of human resources plan and personnel management policies and procedures;
• Provide advice and assistance to staff and management on pay and benefits systems;
• Provide advice and recommendations on disciplinary actions;
• Handles fingerprint system;
• Monitor scheduled absences such as holidays or travel and coordinate actions to ensure the staff absence has been adequately covered off to ensure continuity of services;
• Accurately prepares and inputs payroll data into the MENAHRMS to include starters, leavers and amendments such as promotions, salary adjustments; etc.
• Administers and calculates staff pay, overtime, leave, end of service benefits and other adjustments;
• Manages junior administration staff to ensure that personnel files are organized and up to date, ensuring that all the documents are available;
• Responsible for the timely and accurate completion of the monthly payroll, preparing the payroll register and clearing all issues with Finance;
• Prepares the bank salaries reports and uploads the files directly to the bank system.
• Conducts regular systems checks to ensure that the payroll database is working correctly and to identify any problems, reporting issues to the Group CEO, Finance and/or IT;
• Assists the Administration department in their work with employee payroll information relevant to such tasks such as the renewal of the company salary certificate;
• Liaises closely with colleagues in the finance department, ensuring that monthly reconciliations for budget purposes are undertaken;
• Provides headcount information as required by the Group CEO, Finance Director, and other General managers;
• Keeps up to date with relevant regulations/legislation and determine the impact of any changes, taking action to implement changes where necessary. Ensures the Group CEO is kept informed of changes which may impact on the organization or individuals;
• Participates in projects relating to the development of the integrated payroll-HR database e.g. implementation of SAP ERP, taking a lead in identifying possible improvements to the systems and playing a key role in implementing agreed changes;
• Full knowledge of Kuwait Labor Law.
