 Undertake case management activities in an assigned area or areas, such as file integrity,
program access, prescreening, field team, adjudications support, scheduling or pre-departure
services.
 Assist in the efficient and effective management of refugee case files and medical records,
including, if assigned, undertaking such duties as creating new case files, distributing case files,
filing returned files, keeping accurate and comprehensive track of files through the file tracking
system, scanning files and transforming case files into travel packets.
 Undertake refugee form fill interviews for the purposes of recording biographical information,
including, if assigned, accurately completing necessary forms, correctly entering data into the
Worldwide Refugee Admissions Program System (WRAPS) and other databases, scanning,
photocopying, attaching and filing documents, translating basic documents, and photographing
applicants in accordance with established Standard Operating Procedures (SOPs).
 Assist with the organization and/or scheduling of refugee appointments, including, if assigned,
running ad hoc reports, entering data into schedules in WRAPS or another database, updating
schedules, issuing notifications, visiting applicants in camps and other locations to relay
appointment information, and/or assisting with circuit ride logistics.
 Assist with the adjudication of refugee case files by providing, if assigned, interpretation during
interviews, data entry services, logistical support and assisting with the notification of results to
refugee applicants as needed.
 Update WRAPS with biographical and other sensitive information such as interview dates, US
Citizenship and Immigration Services (USCIS) interview and fingerprint results, medical data and
resettlement location preferences, and, if assigned, activate processes such as program access
verification, security checks or assurances as required.
 Undertake quality assurance checks of refugee files and case data in WRAPS as directed by Case
Management team members or supervisors.
 Provide regular reports on work being accomplished to the Project Focal Point, Case
Management, and/or supervisors and team members.
 Undertake duty travel as needed to participate in meetings or training.
 Demonstrate a solid understanding of the USRAP, SOPs and WRAPS, as well as the ability to
remain professional, impartial and unbiased during all interactions with refugee applicants and
colleagues.
 Maintain and ensure the confidentiality and integrity of all RSC-related information by
implementing control procedures in line with USRAP standards of conduct and data protection
rules. Alert the Project Focal Point or RSC management of any non-compliance to SOPs or codes
of conduct by RSC staff members.

Project Assistant Casework at The International Organization for Migration

1. Adhere to Standard Operating Procedures (SOPs) and implement policies in accordance with US Department of State / Bureau of Population, Refugees & Migration (DOS/PRM) guidelines for United States Refugee Admission Program (USRAP);

2. Schedule RSC/USRAP refugee applicant casework interview appointments for RSC MENA Casework Unit in Amman and elsewhere in the 13 countries (otherwise known as “E-jurisdiction, ” or elsewhere locations) covered by RSC MENA across the Middle East and North Africa (MENA) region in coordination with Casework Coordinator;

3. Review refugee referrals to ensure eligibility and correct case composition for the USRAP;

4. Create and update interview schedules for “ready to pre-screen” cases using the RSC Amman scheduling software;

5. As needed, liaise with other RSC units for additional documentation, contact information, or other clarification in order to proceed with scheduling;

6. Identify cases of special concern to ensure adequate processing (including expedited or sensitive processing) in coordination with Casework Coordinator;

7. Counsel individual refugees over the phone to inform them of their interview appointment and to manage their expectations regarding case processing and the resettlement process per local communication SOPs;

8. Accurately record all correspondence and review status of cases in Worldwide Refugee Admissions Processing System (WRAPS);

9. Run ad-hoc reports to identify cases that are “ready for pre-screen” and schedule accordingly; prepare statistical reports as needed or requested;

10. Coordinate with the Casework Coordinator to follow up on “hold cases” in the pipeline; including cases requiring “Request to Re-open Questionnaires” (RTRQs);

11. Take photos and make prints for United States Refugee Admissions Program (USRAP) cases in accordance with USRAP standard operating guidelines;


12. Ensure all photos are properly uploaded to relevant case member in World-wide Refugee Admissions Program System (WRAPS);

13. Assist in scanning and mass photocopying services;


14. Ensure safety of studio equipment; and studio door is secured when
work is completed;

15. Organise, maintain and backup an archive of photos

16. Maintain a proper stock of supplies in regards to photo printing.

17. Assist in training staff as requested and/or needed;

18. Meet daily targets as established by management;

19. Ensure, maintain, and monitor confidentiality of all RSC matters by following the United States Refugee Admissions Program (USRAP) standards of conduct and IOM data protection rules;
