4. Review and proof reads outgoing correspondence, reports ..etc. check format, grammar and punctuations, and makes correction as needed.
5. Composes administrative correspondence based on verbal or written instructions. Tracks action correspondence, reminds staff of deadlines, and performs other administrative function, including processing sensitive and confidential matters.
6. Distributions of Customer Survey forms and responds to customers on timely basis.
7. Prepares materials in advance of meetings, ensures Director is apprised of appointments and related topics, takes down the minutes of the meeting and distributed.
8. Updates both Manager’s and personal diaries (Outlook).
9. Follow-ups/prepares invitations and organizing Manager’s luncheons/other functions.
10. Maintains at all times an up-to-date and easily accessible filling system.
11. Serves as resources to other administrative staff concerning format, office procedure, and standard business practices.
12. Offers assistance/advice to employees whenever required.
13. Performs related duties and special projects as assigned.
14. Offers assistance to Junior Secretaries whenever required or requested.
15. Organizes Manager Travel arrangement i.e. ticketing, accommodation, cash advance, and schedule of visits and submits expenses statements and other reports.
