Work closely and effectively with the HRDM to keep him well informed of upcoming commitments and
responsibilities, following up appropriately.
Attend minute meetings internally as required by HRDM in order to support the effective functioning of decision-making
Managing HRDM’s Office in a highly professional and efficient manner.
Observe confidentiality procedures and track documentation to ensure security and control.
Ensure the assigned responsibilities are delivered to a high standard of quality and timeliness - in full
compliance with the PWA Policy.
Update and chase actions and tasks to ensure progress is made in accordance with deadline.
Having an understanding of the organizational and departmental objectives, values and milestones to
allow to make educated decisions when required.
Act as the first point of contact for all internal and external colleagues and visitors .
Ensure HRDM is prepared for key meetings and interactions, conduct necessary background
research on related topics.
Maintaining HRDM’s diary, arranging appointments and responding to invitations on his behalf.
Co-ordinate and direct workflow within the office.
Screening and where appropriate, handling or redirecting incoming telephone calls and visitors.
Sorting, distributing and responding or drafting responses to incoming mail.
Creating, formatting and progressing Memos and Letters.
Maintaining accurate, comprehensive and accessible manual and electronic filing systems.
Perform any other duties related or relevant to the job.
My Duties are:
Responsible for answering and logging telephone calls for the department, ensuring that messages are passed on accurately and promptly and deal with any queries where possible which might arise from the caller.
Assisting with maintaining calendar and scheduling appointments.
Dealing with incoming and outgoing emails, faxes, letters, memos and post.
Dealing with correspondence and writing letters, and taking dictation.
Preparing Material request related to IT Items.
Acting as a first point of contact for visitors to the section.
Devising and maintaining office systems to deal efficiently with paper flow.
Organizing and storing paperwork, documents and computer-based information.
Prioritizing jobs urgently required and ensure that all deadlines are completed on time.
Organizing and coordinating travel/accommodation for the department.
Supervising the ordering stationery/office consumables and signing for receipt of goods on delivery.
Complete PowerPoint Presentations as and when necessary.
Preparing statistical information in either tabulated or graphical format related to presentations and reports.
