Establish and maintain the document control centre to manage all incoming and outgoing documentation for the Construction & Project management team, in accordance with the company’s Document control procedure as per ISO standard.
Ensure and effective distribution system for both office and site documentation through out the organization. Coordinating with all Disciple Managers and site Engineers to cover their requirements with updated related documents and drawings.
Providing documents the correct numbering and coding system to avoid any errors or duplicates reference number for all documents at site.
Updating daily E-Transmittal and distribute the concern person for his reference regarding IFI, IFA, IFC void documents
All drawings are stamped controlled once registered and revised drawings are stamped superseded and returned to the Drawing Controller for filing.
Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
• Handling Dispatch system for both collection and delivery.
• Coordinating with the messengers for dispatch and collection.
• Maintaining excel sheet for payment collections for messengers and couriers.
• Reports are being submitted to FM for all the Document delivery and collections on daily basis.
• Receive all the incoming Documents from Clients and Insurance companies and distribute the same to the concerned people.
• Collecting all Insurance documents from the messengers and couriers, scanning and uploading in to the CRM.
• Filing of all paper based policy Documents with CRM labels.
• Maintaining records for the Archived files and providing the files from archives on
requests.
• Managed customers database accounts, processed applications and orders and requests.
• Backbone support of Document Manager.
• Track and ensure timely deliveries of documents to the clients.
• Hand over contracts to the client and Master Developers.
• Attending and filtering client’s phone calls and sending mails wherever necessary.
