Financial
1. Participate in preparation of annual budgets regarding operational and support costs
2. Adherence to budget requirements
3. Ensure monthly billing of all operational activities, especially where ad-hoc services are
provided.
4. Ensure that all monthly client billing data is accurate and available at agreed monthly
deadlines.
Operations
1. Establish, re-design, align, document and implement operational procedures to support all
business activities;
2. Assist in the development of the strategic plan for all operational activity;
3. Implement and monitor the annual and medium term operational plans, program and
projects to meet overall objectives and agreed timings
4. Ensure Daily management of dashboards on smart metering as well as manual meter
reading.
Staff
1. Establish clear organizational structure for the operations.
2. Manage staff according to their responsibilities and accountabilities.
3. Direct all staff, subcontractors and systems to:
a. Ensure that existing clients are serviced at levels exceeding those of the minimum
SLA.
b. Overcome any technical challenges encountered.
4. Maintain and coordinate weekly meetings with staff.
5. Inspire and motivate staff to perform at their best.
Clients
1. Interpret client installation reconciliations and manage exceptions.
2. Identify potential problems and points of friction at clients and find solutions.
3. Manage and coordinate ad-hoc client meetings as required.
4. Attend presentations to new clients
5. Manage the implementation process at new clients.
6. Manage subcontractors to ensure efficient delivery to our clients.
7. Monthly reporting and interpretation of ticketing system.
Communication
1. Report to the directors on a monthly basis on all operational aspects of the business,
including current status, any shortcomings identified and recommendations.
2. Ensure effective internal communications both within the operational team but also across
the organization (i.e. with finance and the managing agent)
- Ensure that all new customers are onboarded properly, trained, and supported (Globally)
o Engage with customers to determine their exact needs with regards to operations
o Assist customers with the preparation of data required for the onboarding process
o Configure the platform to address the customer’s operational requirements
- Provide support to all FM customers on a global scale
- Make sure that the customer’s business processes are transitioned into our software and
identify improvement opportunities
- Do product demonstrations to potential new customers
- Administrate and support the Global Utilities Platform
- Support clients in Australia/New Zeeland/Malaysia/Dubai/South Africa
Ensure the entire Laboratory and Admin areas are maintained and
operational at all times
o Perform Scheduled inspections of the building, Facilities, Utilities and
Equipment for compliance
o Ensure Equipment / Machinery are serviced, maintained and safe to
use (Compressor, Lifts, Air-conditioners, gas lines)
o Manage the HVAC and Building management systems requirements
to ensure the environmental conditions of the lab building
o Monitoring of electricity consumption
• Implement and maintain the Maintenance Schedule for Facilities, Equipment
and Utilities including Emergency generators, Lab equipment and
Validations\Calibrations
• Support all teams with projects and programs on Facilities requirements
o Assure Minimal to no downtime on all programs
• Manage the procurement and monitoring of gas supplies to ensure
uninterrupted operation of the laboratories
• Manage Security and cleaning staff
o Manage Alarm systems, CCTV systems, Access control and building
management systems
o Manage and Report on all staff Time-Attendance systems/Registers
• Manage the Protective clothing (PPE) of all staff including Visitors,
purchasing, life cycle and cleaning thereof.
• Ensure the SHE system is fully implemented and maintained
o Ensure any non-conformances raised are attended to and closed
within required time
o Implement and upkeep legal registers in terms of the OHS act.
o Ensure Equipment registers are maintained
• Oversee IT requirements for all Laboratories and Admin areas
o Inspect and assist with all IT needs and Problems
• Manage the Waste Management of the facility - Arrange/schedule regular
waste removal (General, Hazardous and recyclable)
• Lease and contract management
• Monthly reporting to top Management
• Responsible for all company vehicles
