Duties and Responsibilities as Secretary:
• To provide secretarial, confidential clerical services and administrative assistance to the Manager.
• To gather data and pertinent figures and information needed to assist the Manager.
• To organize and provide data needed during conferences, meetings and/or appointments.
• To prepare drafts of correspondence based on oral instructions.
• To write replies to routine correspondence.
• To review, route and follow-up all incoming and outgoing correspondences.
• To proofread all papers for correctness and completeness prior to the signature of the Manager.
• To receive, screen and entertain visitors, schedule appointments and interviews.
• To type all correspondences, forms and reports.
• To maintain and oversee all files, confidential and routine.
• To keep records of all matters requiring action and/or follow-up, and bring to the attention of manager those requiring immediate attention.
• Track and assist managers calendar of activities and keep him informed of all the business and social appointments.
Duties and Responsibilities as Document Controller:
• Prepares office documents such as minutes of meetings, letters and billings as assigned by the Technical Manager/Project Engineer.
• Secures and manages proper office document filing as required by the Technical Manager/Engineers.
• Sending electronic document through emails and facsimile.
• Answers telephone calls from clients with courtesy.
• Checking the documents for typing errors, misinformation, spelling and punctuation errors that will result in a documents disqualification.
• Making edits on documents before submitting them for approval in order to prevent specific forms of company documentation from being disqualified.
• Ensure that all documents are submitted to their predestined departments before the required submission date expires, a document controller must prepare these documents in a timely manner.
• Keeps track of all company records by looking through both hard files and computer data base files on a regular basis.
• Prepare correspondence, proposals, specifications, reports, organization charts, spreadsheets and presentations including typing, formatting, collation and distribution.
• Monitor reporting requirements and prepare monthly reporting requirements for the project as required.
• Maintain correspondence and filing in accordance with the relevant procedure.
• An Microsoft Dynamics AX systems (ERP) program user, Microsoft outlook, Word, Excel and PowerPoint.
My work experience covers mostly in sales. With 17 plus years working in the FMCG area. Worked in different types of products, be it in the beverage and softdrinks industry, Ice Cream, Wines and Liquors, matches and lighters and milk and juices. Started as Route Salesman in a Philippine company and had been rewarded for being consistent to become an Area Sales Manager. A committed and focus person by way of performing more than expected of me through the years in sales.
Has undergone intensive trainings and seminars in Time Mgt., Credit Mgt., Customer Service, In-Trade merchandising opportunity and Effective Route Riding as additional experience.
Lastly, I am confident that with my experience here in Saudi Arabia, majority of it in Jeddah, will make me more competitive, confident, can manage stress and pressure, committed to attain given targets consistently and most specially, a people oriented type of person.
