• Manages the Managing Partner’s calendar and independently schedules appointments
• Managing office services by ensuring office operations and procedures are organized.
• Arrange the Managing Partner’s programs, events, or conferences by arranging for facilities and caterers, issuing information or invitations, and coordinating speakers.
• Arrange complex and detailed travel plans and itineraries, flights, hotel accommodations, rental car, and other travel needs, as well as compile documents for travel-related meetings.
• Takes and transcribes dictation, composes and prepares confidential correspondence, drafts, communications, and other documents on behalf of the Managing Partner, and other complex documents.
• Disseminating information by using the telephone, mail services, and websites and providing it to the Managing Partner.
• Personal Assistant to the Managing Partner.
• Making guest arrangements for the Managing Partner.
• Provide general support to visitors.
• Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands.
• Coordinate with the IT department on all office equipment.
• Supervising the company’s construction projects.
• Traveling in representation of the company to look after the company’s affairs.
• Manage relationships with service providers, and landlords, ensuring that all items are invoiced and paid on time.
• Manage contract and price negotiations with office vendors, and office leases.
• Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems.
• Allocate tasks and assignments to subordinates and monitor their performance
• Directs preparation of records such as agendas, and notices.
• Creates and maintains database and spreadsheet files
• Preparing letters and emails.
