Handling inland shipments for import and export airfreight.
Handling medical insurance, medication & repatriation jobs
Prepare invoices for import & export jobs
Entering the shipments’ data into related systems and Excel sheets, and assist in preparing statistical reports.
Ensure that all related files and communication methods are in accordance with GAC Jordan’s administrative procedures.
Handle international moving shipments including preparing and issuing documentation, following up with customers, customs and related parties, and keeping the customers well informed about their shipment
• Respond efficiently to all shipping requests from headquarters and the fields managing requisition orders for transport, cargo handling and storage of cargo shipments by air, sea and road in line with ICRC and international regulations.
• Purchase logistics services (transport, lifting, handling and transit storage) in line with the ICRC's procedures and financial rules; ensures approvals and records are carried out according to established criteria.
• Respond to requests for advice and assistance on transport matters from the ICRC Logistics Units within the region.
• Deal with emergency situations and respond to telephone calls out of normal office hours.
• Request freight quotations for international air, sea & road freight consignments.
• Select cost efficient and reliable mode of transportation, including the choice of forwarder, carrier that guarantee a safe and quick transportation.
• Negotiate with shipping companies on rates and special privileges such as extended “free time” on container demurrage at destination.
• Organize tenders with selected and approved transporters, analyses them and establishes a selection table based on the criteria of cost efficiency, reliability and shortest delivery time.
• Keep contact with the LSC warehouse, the manufacturer/supplier and the transporter to enable smooth coordination and cargo pick-up.
• Must also track shipments to ensure they arrive on time and that shipment and delivery processes adhere to any pertinent regulations. Shares information about shipping and receiving activities.
• Ensure that the required documentation is correctly established. Coordinates with the receiving end the sending of the documents and the timely release of the cargo.
• Follow up the invoicing, irregularities, delays and eventual claims in line with the ICRC procedures. Submits files to insurance company.
• Establish proper shipping files allowing tracking back freight and customs issues.
• Ability to review alternative options and select most effective and cost-efficient mode of transport in various contexts and circumstances
• Clear all stuck express shipments in airport then send it to final destination.
• Preparing all shipping docs from taking the goods and send it to airport and ship it to the final destination.
• Promptly advise clients/ colleagues on requirements for import / export clearance of all commodities based on Jordan Customs regulations.
• Review all documentation, process customs declarations
• Liaise with customs / airline / shipping lines/ border / other authorities as required to facilitate import / export movement of air/ sea/ land shipments.
• Advise colleagues/ clients on updates/ changes to regulations to ensure optimal customer experience vis-a-vis smooth processing of export / import shipments
• Clear all stuck express shipments in airport then send it to final destination.
