• Deliver high-level executive support to the Deputy Group CEO of an international Bank with over 7000 employees, and to his direct reports.
• Work closely with the Deputy Group CEO to keep him well informed of upcoming commitment and responsibilities, following up appropriately.
• Serve as the primary point of contact on all matters pertaining to the Office of the Deputy Group CEO. Act as liaison and maintain communication among senior executives, board members’ offices, middle management and other EAs and administrative staff.
• Organise the Deputy Group CEO’s calendar. Coordinate meetings and special events.
• Conserve Deputy Group CEO’s time by reading, researching and routing correspondence; drafting and editing executive level correspondence; collecting and analysing information, and completing all other tasks that facilitate the Deputy Group CEO’s ability to effectively support the Group CEO in leading the Bank.
• Organise international and domestic travel arrangements, agendas and itineraries, and compile documents for travel related meetings.
• Manage multiple administrative projects simultaneously and monitor progress to ensure deadlines are met.
• Handle personnel files, enquiries and processes with the utmost confidentiality.
• Answer incoming calls to the Deputy Group CEO, re-routing to the correct staff member when required. Liaise with impacted departments to ensure proper action.
• Review and Verify expense claims, purchase requisitions, IT Support requests to support the Deputy Group CEO in the approval process. Action as appropriate using the HR Oracle System, Procurement System, Performance Management System, IT Service Desk on behalf of the Deputy Group CEO.
• Handle a variety of HR matters referred to the Deputy Group CEO for approval including the review of new hire applications, leaves of absence, performance management, salary adjustments, staff disciplinary cases, resignations and other.
Undertake full range of executive secretarial support functions for the Director General, including liaising with airline offices, clients and government departments on administrative matters.
Support the Manager’s Office during the Secretary’s leave absence. Undertake all related duties.
• All secretarial and customer service duties including operating the switchboard, correspondence with customers and correspondent banks, filing.
• Quote foreign exchange rates and finalise deals in coordination with the Manager/Chief Cashier.
• Telesales.
• Prepare and Check Test Keys for telex messages. Send telex remittances and messages.
• Accounts - post journal entries.
• Remittances/Settlement of Travellers’ Cheques.
• Prepare Airway Bills for demand drafts and documents sent through the Draft Express Service and tally Day End reports.
• Collection / Realisation of foreign bills
• Purchasing / discounting of foreign and local bills
• Executing loans to exporters (Packing Credit and Post Shipment Demand Loans)
• Import Payments and Endorsement of Licences
• Clearing/Collection of Cheques
• Issuance of Bank guarantees and Loans
