Logistics & Procurement
• Supported developing the organisation's purchasing strategy.
• Negotiated & formed purchase agreements & contracts for restricted assets; Armoured vehicles, Ballistic protection equipment, Weapon systems and ammunition and soft-skin vehicles.
• Procured controlled communication equipment (Satellite phones, Radios, etc.) and other special security items.
• Procured PPEs (Personal protection equipment) and PSD equipment, Medical requirements for Tier 1 and Tier 2 medics (Medical kits, Medical items and Drugs) uniforms, workshop equipment camp requirements and spare parts.
• Worked closely with the following Governments’ authorities expediting the necessary approvals & permissions to acquire the highly restricted shipments; MoFA (Ministry of Foreign affairs), MoI (Ministry of internal affairs), Customs directorates, Police, Consulates & commercial attachés, Trade compliance and UK export control.
• Monitored the progress of signed contracts and checked the quality of services to ascertain the best products and suppliers performance in terms of best value, delivery schedules and quality.
• Forecasted levels of demand for services and products and reviews inventory position to meet the business needs.
• Conducted research and Forecasting price trends and their impact on future activities.
• Identified potential suppliers, visiting existing suppliers, and building and maintaining good relationships with them.
• Issued tenders, RFPs & RFQs, Evaluated the bids and made recommendations based on commercial and technical factors for all products and services required for projects operations.
• Maintained Supplier’s Database and Pricing Matrix for all products purchased by procurement department.
• Liaised with suppliers, manufacturers, relevant projects and clients.
• Coordinated between all relevant internal departments; project management office, pricing, fleet management, camp management and in-country logistics.
• Liaised with finance department on payments forecast, cash requirements and expediting overdue payments.
• Monitored transportation, ensuring that goods are shipped in the most timely and efficient manner, choosing best ground and air transportation, record keeping, POL (fuel) issues, and disbursements.
• Trained and supervised the work of other members of staff, on the ERP system in particular.
ERP & Reporting:
• Managed the procurement function in the ERP system (Microsoft Dynamics AX).
• Placed orders and storing all supporting documents using Olive’s both ERP system(s) Cost-point and AX.
• Produced procurement analytical reports and statistics, such as spend analysis, top spend suppliers.
• Maintained live weekly IER (Internal equipment request) Progress report and work with PMO on Mobilization Report.
• Produced Weapons report for MOI (Ministry of Interior).
Administrative:
• Direct support for Head of logistics to oversee and manage day-to-day logistics & procurement operations.
• Supported the development and execution of the Logistics & Procurement Departments’ processes and Ensured department compliance to the services & corporate requirements.
