Front office duties;
Answer incoming calls and assist with reservations, confirmations, room need requests, and questions
Greet guests warmly and perform registration procedures. Answer incoming calls within 3 rings with appropriate greeting. Maintain accurate logs of mail, packages, parcels or other items
Admin Duties;
Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control
Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
Maintain confidential records and files
Coordinating between departments and operating units in resolving day-to-day administrative and operational problems
Scheduling and coordinating meetings, interviews, events and other similar activities
Preparing business correspondence (often using word processing, spreadsheet, and presentation computer software)
Personal sec duties;
Devising and maintaining office systems, including data management and filing;
Arranging travel, visas and accommodation to take notes or dictation at meetings or to provide general assistance during presentations;
Screening phone calls, enquiries and requests, and handling them when appropriate;
Meeting and greeting visitors at all levels of seniority;
Organizing and maintaining diaries and making appointments;
Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
Taking dictation and minutes;
Carrying out background research and presenting findings;
Producing documents, briefing papers, reports and presentations;
Organizing and attending meetings and ensuring the manager is well prepared for meetings;
Liaising with clients, suppliers and other staff.
