Job Responsibilities
• Manage diary and schedule meetings and appointments.
• Reminding the General Manager of important tasks and deadlines.
• Accompanying/assisting the General Manager in attending exhibits, events.
• Maintain the General Manager’s office area clean and well organized.
• Make hotel, transportation and restaurant reservation.
• Monitor employees’ attendance.
• Produce and distribute correspondence memos, minutes and forms.
• Prepare monthly and weekly reports.
• Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
• Completes requests by greeting visitors, costumers in persons: answering or referring inquiries.
• Encode and send quotation and Invoice to the clients.
• Using various computer packages- Word, Excel, PowerPoint.
• Assist Procurement Department to locate vendors of materials, equipment or supplies, and interview them in order to determine product availability and terms of sales.
• Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing order supplies; verifying of receipt supplies.
• Maintains costumer confidence and protects operations by keeping information confidential.
• Make copies of correspondence and other printed material. Open, read, route, distribute incoming mail and other material, and prepare answers to routine letters.
• Schedule and confirm appointments for clients and customers.
• Maintaining records of all bookings e.g. date events and venues.
• Set up and maintain paper and electronic filing systems for records, correspondence, and other material.
• Collect and disburse funds from cash accounts and keep records of collections and disbursement.
• Plan event from start to finish according to requirements, target audience and objectives.
• Come up with suggestions to enhance the event’s success.
• Ensure all the children in the events are safe, supervised and accounted for at all times.
• Assist all the children in participating all the event activities.
• Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
• Ensure compliance with legal and safety obligations.
• Maintaining records of all external performers and suppliers.
• Ensuring all the items for events arrive on time.
• Process payment through bank transfer or prepare cheque to the suppliers and part-timers.
• Other duties and responsibilities the management may give from time to time.
