• Act as the Director's first point of contact with internal and external stakeholders
• Managing the Director's schedule
• Screen inbound telephone and email communications
• Arrange meetings internally and externally Ensure timeliness and accuracy of responses
• Handle all typing and correspondence such as memoranda, reports, circulars, action forms, contracts and tender letters, minutes of meeting, obtain appropriate signatures and dispatches accordingly
• Draft letters from brief notes or oral instructions as required. Creating, formatting and progressing Memos and Letters
• Co-ordinate and direct workflow within the department, division or section as directed by supervisor.
• Document Management including archiving/retrieving
• Carry out other duties such as making photocopies, scanning, filing and operating a fax machine
• Perform any other duties assigned by the supervisor directly related or relevant to the job
• Primarily providing translation service from Arabic to English and vice versa for letters, documents, and reports including technical, educational, legal, and general materials.
• Remained informed and educated on technical terms used, to ensure translations were maintained to high professional standards.
• Translated over 6000 pages, including tender documents.
• Proofreading of documents and reports as requested
• Establish and maintain Project Translation Log
• Providing PA support to Project Director and Operations Manager
• Receiving of documents and reports from client via agreed document submittal procedure
• Setting up boardroom for client meetings and liaising with IT technician for Audio Visual services
• Coordinating, minute taking and logging actions from meetings held internally and externally, with appropriate follow-up
• Coordinating and booking meetings, site visits, keeping other staff members informed of changes to plans
• Maintaining up-to-date contacts for Project Director and Operations Manager
• Managing monthly expenses
• Providing ad-hoc administrative support to other members of senior management team.
Responded to, researched and resolved issues from internal staff.
Performs numerous secretarial and administrative support activities for a senior-level
executive, many of which are highly confidential or sensitive in nature. This administrative
position requires the candidate to exercise good judgment and discretion in the execution
of all duties and responsibilities.
• Assisting Internal Audit Supervisor and Senior InternalAuditor.
• Schedules meetings, conferences, and appointments; establishes and maintains a calendar
of events and keeps executive informed of commitments. Makes arrangements for and
hosts visiting dignitaries. Makes travel arrangements, coordinating airline and auto rental
reservations, hotel accommodations, and expense reports.
• Handling the whistleblowing Policy, and Feedback mail.
• Locate and attach appropriate files to incoming correspondence requiring replies.
• Maintaining confidential records and files.
• Keeps track of employee’s annual leaves, sick leave forms, etc.
• Coordinate with other departments as per the instruction of my manager.
• Perform other duties as assigned.
• Weekly update my department database.
• Responsible for entering all participating documentaries’ data and sorting related documentation, as well as archiving selected films along with their respective information.
• Enter all data related to the documentaries in different categories.
• Make archives for the selected documentaries and a file for each selected film.
• Make spreadsheets with all requirements such as director’s photo, and stills, trailers,
digital tapes, etc...
• Pass all information to the rest of the employees in both sections of the festival.
• Call the participants in order to ask for the missing requirements of each
documentary.
• Attend guests during the festival.
• Assign codes to received film and accordingly sort them.
• Pass all films to the Operations Section for review and validation, and then pass
them for further needed assessments.
• Help the rest of the festival staff when needed
• Perform other duties relevant to the job as requested
