1. Office Administration
Monitors and follows up on the implementation of all administrative rules and policies.
Updating staff with office administrative policies via internal memos and circulars.
Supplies administrative services.
Monitors daily attendance/departure time sheets.
Registers all types of Leave (Vacation/Sick) and receives filled Request for Leave Forms from all staff members.
Issues, updates and distributes staff contact list.
Keeps personnel data and C.V.'s.
Monitors and follows up on office cleanliness and tidiness.
Assists in the Administrative Support Unit’s filing system.
Initiates an itemized inventory for office equipment and furniture.
2. Office Set Up
Responsible for making long lists of different suppliers.
Assists in putting specifications.
Getting quotations.
Distribution of furniture and office equipment.
Follows up on the maintenance and efficiency of office equipment and furniture.
Registers all needs of office furniture and equipment.
Assists in staff allocation and accommodation.
3. Document Management
Assists in making document control and registration of External/ Internal Outgoing correspondences and External/Internal Incoming correspondence.
4. Coordination in Recruitment Process
Calls applicants for interviews and attendance the interview.
Keeps registers of categorized applicants and C.V.s.
5. Conference Organization and Meeting Arrangements.
Responsible for the reservation of the Conference Room.
Responsible for the arrangement of meetings, seminars, conferences and events and provides administrative services.
Supervises and follows up on hospitality services during meetings and events.
