• Preparing all administrative affairs for the visiting doctors (Visit visa, Hotel Reservation, Booking tickets, Temporary license, Advertisements .)
• Preparing & arranging the advertisements with doctors before publishing.
• Make the necessary arrangements for trips as advised by my boss.
• Prepare correspondence, reports, and materials for publications and presentations.
• Setup accommodation and entertainment arrangements for center visitors.
• Prepare and maintain CEO's expense report.
• Setup and coordinate meetings and conferences.
• Create, transcribe, and distribute meeting agendas and minutes.
• Answer telephones and handle in appropriate manner.
• Meet and greet clients and visitors & patients.
• Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
• Maintain hard copy and electronic filing system.
• Research, price, and purchase office furniture, supplies, books on internet.
• Communicate with local and governmental institutions, Municipalities, Ministers.
• Coordinate the work with the departments Head.
• Provide information and require input to the CEO in terms of staff performance, legal issues, new staff procedures and others
• Prepare employment offers and work contracts for employment purposes in coordination with the president.
• Escalates and solves any problem as per Hospital Management Policies
• Preparing all the required for Permanent & Temporary license for Doctors, Staff nurse & technicians.
• Handling all business trips for CEO.
• Preparing candidate interview (Doctors, nurses & Technicians) with MOH Committees.
• Manage, organize and control all daily personal and admin operations including
Recruitment, Staff Relations, and Staff information system, Passports, Visas and Training.
• Perform other duties as may be assigned by the president or the board of directors.
