GENERAL RESPONSIBILITIES
• Ensuring executive’s attendance at meeting engagements
• Updating the executive of any changes regarding commitments
• Assessing and taking necessary actions on all incoming e-mails
according to priority and deadline
• Answering and routing phone calls
• Draft, type, and proofread reports, presentations, meeting minutes,
letters, memos, forms, etc.
• Distributes official documents, memos, announcements, and other
updates to all related departments
• Organizing, arranging, and communicating meetings with both internal
executives and external clients
• Assisting preparation and consolidation of reports from DRs
• Uploading official presentations and reports on the internal board
management software
• Arranging schedules of appointments, visa applications, flight
booking, hotel, and transportation
• Liaising between employees and contractors (e.g., PwC, EY, Deloitte,
Accenture & Ejada)
• Administers client/visitors’ access before meetings, official visits, and
conferences
• Receiving, escorting, and guiding clients/visitors (senior
management/high-ranking officials) from different companies meeting
venue’s entry/exit
• Maintains proper and systematic filing
• Filing & follow up on reimbursements
• Operates office work machines and maintains adequate office supplies
and initiates all requisitions
• Providing/assisting colleagues and new onboards regarding work-related concerns like workstations, computers, stationery, etc.
• Following up frequently until the task is achieved/completed
• Updating tasks daily
• Familiar with the organization’s Standard Operating Procedures
• Performs other assigned duties that contribute to the organization’s
mission and objectives
• Taking all possible measures to ensure confidentiality and
protect sensitive information is a must!
• Demonstrates and promotes professionalism, accountability, and high
standards for quality and productivity, focusing on results
