* Meet special request from C.E.O’S office immediately.
* Delivering the personal files to authorized personnel in the Human Resources department upon request.
* Back office administrative tasks to include but not limited to, updating the dependent details, leave records, hierarchy, batch entries, and resumptions of employees in ORACLE on obtaining the required access to the HR Admin Level 2.
* Supporting the front office functions to fill leave vacancies.
* Enabling a quick search of files, of even those separated files whenever required .
* Arranging and maintaining the resigned files yearly-wise with the reference number .
* Manage the employee’s files in order to have a complete, updated and orderly filing system at all times.
* Performs all filing of medical records.
* Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.
Controls incoming and outgoing telephone calls faxes message and other business correspondence while the manager is out of office.
Convey all messages received to the manager and send confirmation if required.
Preparing Delivery Notes, Receipts and Sales Invoices, in coordination with sales and accounts Department.
Preparing Tender Bonds & Performance Bond, in coordination with Admin officer.
Deals with other secretaries of other companies and also from overseas in setting appointments and meetings.
Distribution of faxes on behalf of Manager to concerned department.
Excellent inter-active skills, capable of working independently.
Organized documentation and filing procedures as per ISO Standard
Fling documents in proper order.
Registering of internal and external documents.
Attending Telephone calls
Preparation of all kinds of Correspondence and Document Control
Finalization and issue of Purchase Orders.
Maintain separate Confidential Filing System for the Managers
