Responsibilities and duties include, but not limited to, the following:
Create a detailed work plan which identifies and sequences the activities needed to successfully complete the project.
Focus the business opportunities according to the business plan.
Prepare the feasibility studies from all aspects and respect the risk margins.
Prepare studies for the possible parties who can start expand new business with them. And communicate with them according to the study resulting.
Prepare the agreements drafts from all aspects (financial, legal, operation, insurance, …etc)
Attend meetings with global entities to discuss the agreements till reach the step of signature.
Execute the global agreements/contracts and monitor all sides and make the necessary discussions for implement organized operating system keep rights of all parties and easily flow the business.
Design and issue the necessary reporting and statistics to analyze the profitability of the project.
Review the quality of works completed with the project team on a regular basis to ensure that it meets the project standards.
Keep the necessary communications to obtain the required data for implement the projects strategies, targets and operation.
Manage teams, facilitating commitment and productivity, removing obstacles and motivating team members.
Set up files to ensure that all project information is appropriately documented and secured.
Prepare financial reports and supporting documentation for funders as outlined in funding agreements.
Ensure that project deliverables are on time, within budget and at the required level of quality.
Supervise and manage team of export documentation and sales executives responsibilities.
Update the export working system according to work demands.
Create reporting System for export volumes and analysis system from all sides which allow to show accurste situation for the work follow.
Handle personally the VIP shippers outbound business in all aspects in the containers line.
Do the system export documentation for Syria and Lebanon agents.
Responsible for managing section of IB & OB Mediterranean Sea countries, Russia region and Egypt with coordinating with company's agents in the working area to arrange cargos loading (even by air, land or maritime transportation).
Approve shipping lines offers, freight prices & shipping conditions, coordination with purchasing department to approve the offers.
Shipment Execution, provision of specific documentation, pricing & product information assisting is expediting shipment clearance, company representation at the Customs House & monitoring to acquire the effective services of the company appointed clearing agent; while ensuring that consignments are being cleared as per the valid law enactment & duty brackets & category.
Coordinating in arranging & attending regular meetings with the clearance agencies.
Ensuring the delivery of consignment on time at warehouse and complete the all-necessary documentation as per company policy.
Follow up with the financial department on invoices payments which are issued to the shipment shipper / consignee.
Coordination with different governmental authorities to obtain required approvals and shipment documentation.
Drawback settlements, following to approval and cheque issuing.
Prepare periodical reports and statistics of sales orders & clearance shipments.
Responsible for ISO certificate establishment and applying in the Martrans Port Said branch.
Responsible for supervision all operational activities.
Agreements with customers for selling orders.
Purchasing plans for required raw materials for the operational plans.
Focus profitability of the running activities.
All required activities for the store running.
Manages Director's calendar and independently schedules appointments.
Screens incoming calls and correspondence and responds independently when possible.
Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance.
Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
Directs preparation of records such as agenda, notices, minutes, resolutions for corporate meetings, and meetings presentations.
Monitors and directs recording of the technical affairs stock issues and transfers.
Acts as custodian of corporate documents and records.
Creation and updating of suitable filing system according to the documentation confidentiality and importance for the technical director (including products chemical formulas, financial plans, financial executed records and investment plans.
Composes and prepares confidential correspondence, reports, and other complex documents.
Creates and maintains database, spreadsheet, graphics and charts files to illustrate the business data.
Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.
Translation of work documents from Arabic to English and vice versa for the German Director.
Stationery control for the Technical sector.
Purchasing requests for the German Director.
Hotel and flight reservations for the German Director and foreign experts & visitors.
Other duties may be assigned.
Have the sense of keeping work confidentiality.
Control the stock of Hempel international marine paints in the Port Said company branch (Suez Canal eastern entrance).
Receive supply orders from passing vessels in Egyptian ports.
Co-ordinate with company offices at Egyptian ports to fix a supply plan for the vessels avoiding any delay or more stoppage for the passing vessel.
Arrange and co-ordinate with the department staff for the paints plan for the vessels in the dry sank.
Communicate with the headquarter in Denmark for ordering the stock items with monitor in the low limit for each stock item.
