Responsible for the full employee life cycle from onboarding to exit.
Preparation and administration of HR documentation to include: offers, starter packs,
leavers, background checking, references and probation.
Maintaining records related to grievances, performance reviews, and disciplinary
actions.
Process employment visas and other legal requirements in a timely and effective
manner.
Ensuring all new employees and existing employees in regards of visa renewals obtain
required necessary documents, visas and approvals in time.
Generates HR reports on headcount, new hires, promotions, transfers, performance
reviews, separation and staff data & statistics to the Senior Management, whenever
required.
Review and update HR & HSE Policies and Procedures as required.
Provide management team monthly reports on HR and safety statistics, work in
progress, recommendations, and initiatives.
Liaising with all government agencies and company PROs to ensure adherence to
compliance.
Acts as a liaison between the organization, its insurance provider and agents, claimants,
& policyholders regarding the status and eligibility for coverage for all relevant claims.
Reviews claim to make sure that billing requirements are met, updates accounts as
necessary, answers inquiries, & makes recommendations for resolution.
Process insurance and disability claims in a timely manner.
Meet insurance brokers/ personnel for yearly policy renewal to negotiate quotations
and premium proposals. Assuring to acquire the best and the most competitive terms
for the company.
Responsible for all Insurance Renewal for 14 companies from Medical Policy Insurance,
Workmen Compensations Policy to Group Life Policy Insurance.
• Responsible for Coordinating with all departments in order to assure that all documents are kept in the right place and in the right department file archives.
• Responsible for receiving, circulating and recording all incoming and outgoing faxes, emails and hand over deliveries.
• Ensure that all corporate documents are well checked and submitted on time prior to the documents submission due date.
• Ensures that all documents have no errors in filenames, submissions, etc. before submitting to the next department to avoid confusion.
• Ensuring quality formats being used adequately for correspondence, submittals, transmittals to clients, main contractors, subcontractors and within division and departments.
• Prepares all documents and communicating with co-employees in order to make submissions early.
• Keeps track of all records by looking through both hard files and computer database files on regular basis, process of keeping track of any changes occurring with documents, highlights any type of document modifications changes can be view by upper management personnel.
• Checking the documents to make all informations regarding the project is updated and factual.
• Ensure that all documents are submitted to their predesignated departments before the required submission date expires, prepares documents in a timely manner.
• Maintain proper organization and storage of documents and information.
• Provide full admin support to the team.
• Do other task which may assign to me from time to time (multi-tasking).
Held full responsibility in checkingthe accuracy of details in shipping documents provided by the shipper.
• Prepare Master bills of Lading through encoding of details in system for every shipping documents gathered.
• Checking of actual arrival and estimated departure of the propose vessel in Manila port.
• Responsible for sending of Export Manifest to headquarters in Taiwan 24 hours before Vessel arrival in transshipment port.
• Answering query of clients through emails.
• Answers incoming telexes for export and prepare web telex release or amendment notice as requested by shipper.
• Prepare shipping documents for CIS File transfer in particular vessel. And responsible for maintaining complete vessel’s file.
• Prepare weekly reports for every processed/unprocessed Bill of Ladings.
Assigned to encode export cargo bookings and shipment arrangement as per customer’s requirements.
• Held responsibility for receiving export documents from clients and sending accurate shipping details.
• Responsible in coordinating with the Trucking department to monitor the status of cargoes to be pick-up from customer’s warehouse and deliver to our company’s warehouse.
• Accountable for export shipping operations i.e., Loading of consolidated cargo in a container unto the proposed vessel in the port.
• Assigned the task in giving precise status of shipments and vessel schedule per week to clients.
