RESPONSIBILITIES
* Analyzing MIS, financial reports, business proposals, approvals etc and summarizing to VCP.
* Managing approval process of group companies through HRMS.
* Regular Coordination & communication with 20+ GM & CEOs of group companies.
* Responsible for maintaining the private properties, bank accounts & investments.
* Coordinating with all share companies for Directorship and Chairperson activities.
* Drafting letters, collecting and analyzing information and initiating telecommunications.
* Maintains appointments by planning & scheduling meetings, conferences, teleconferences.
* Arranging visas, itinerary, hotel & transport for inbound & outbound travel.
* Maintains office supplies & gift inventory by checking stock to determine inventory level.
* Provides historical reference by developing and utilizing filing and retrieval systems.

Providing comprehensive administrative and executive support to CEO for the smooth function of
CEO office.
* Managing, maintaining and updating CEO’s calendar and ensure the schedules related to CEO’s
meetings, visits, special programmes and events properly managed.
* Preparing memos, reports, presentations and other support documentation related to CEO’s
meetings & programmes.
* Communicating and coordinating with all business unit heads for the matters related to CEO’s day
to day activities.
* Communicating and coordinating with Chairman and Board of Directors regarding administrative
and corporate issues.
* Making flight and hotel reservation for CEO, Board of Directors and Overseas Clients and also
preparing visa arrangements.
* Assisting CEO in recruitment & selection and coordinating interviews with HR and other
departments.
* Filtering the general information, queries, phone calls and invitations received by the CEO and
redirecting or taking forward such contact as appropriate.
* Maintaining a systemic filling system including hard and electronic & safe keeping of important
documents.
* Arranging board, management and external meetings and special events, parties and taki ng
minutes of meeting for action.
* Translating of memos, board decisions and other documents from Arabic to English & vice versa.
* Extending professional administrative and secretarial support to CEO for the new projects and its
developments.

* Responsible for the overall management of Director’s office and the college
* Coordinate with suppliers & vendors for proper supplying of accessories and stationaries.
* Maintain calendar of Executive Director and arranging internal and external meetings.
* Oversee of printing books and booklets and follow up until transform to material either printed or
electronic.
* Maintain proper coordination with co-lectures and supporting staffs and follow up with unit heads.
* Manage and administrate of Sales & Marketing of production materials of the college.
* Responsible for the operation of computer system and IT & video production unit.
* Proper coordination with Board of Management and working committee members of Institution &
college with regard to the board meetings and future planning & etc.
* Responsible for distance learning unit of the college.
* Responsible for accurate & timely maintenance of related files & documents.
* Coordinate with donors, NGOs and well-wishers for fund raising and develop relationship with them.
