• Ensure all employees’ travels which includes flights, visas, and hotel bookings are compliant with the internal company policy.
• Conduct internal trainings on travel policy and the system used “KDS” for new employees.
• Ensure all travels are in line with the pre-approved budget and report any discrepancies.
• Negotiate corporate rates with international hotels and agencies to obtain the best offer in terms of price, quality and services.
• Advise employees on visa requirements and documents that must be presented to different embassies.
• Coordinate with travel agencies across different regions and countries; mainly Gulf Countries, Europe and South Africa.
• Track the employees’ travels and coordinate with security team in case of any emergency.
• Act on behalf of the travel team in Paris and Luxembourg offices during the team’s annual leave.
• Book and coordinate more than 30 tickets on daily basis.

• Maintained a database for all events managed by the Medical department such as speaking engagement, advisory boards, speaker trainings and sponsorships.
• Worked closely with key internal functions supporting medical activities execution such as procurement, sourcing, finance, legal and field force.
• Supported with planning and coordinating the logistics for all internal and external events for the Medical department.
• Ensured alignment with business leaders and doctors to ensure successful execution of the events within the pre-approved budget.
• Ensured strict adherence the Novartis Code of Conduct, Novartis Pharma Principles and Practices for Professionals (NP4), MEA code of promotional practices, and other regulations.

• Assigned as the main point of contact for all company events (Internal and external), travel booking including hotel, accommodation, transportation and coordination with agencies.
• Connect with purchasing and compliance department to ensure all events and bookings have the best price, quality and compliant with the company’s internal policies.
• Adhere to all compliance rules and regulations of the company and support the audit team as needed during compliance audits.

• Ensured collections are made on time and report aged accounts.
• Opened credit facilities for the hotel’s key accounts and controlled the credit limits.
• Conducted regular audit on credit card transactions made by the food and beverage, and front office department.
