POSITION: EXECUTIVE SECRETARY/DOCUMENT CONTROLLER
DUTIES:
• Manage and ensure Document Controlling (operations files) according to the company's IMS procedures.
• Prepares Memorandums, Internal memos, and cover letters.
• Assist QA/QC in preparing Project Quality Plan (PQP), HSE Plan, Monthly Progress, OHS, and Operations Maintenance & Manual Reports
• Provides professional administration support to the Operations Manager
• Manages HSE training requests for project sites staff e.g. Emergency Response, Confined Space, Internal Auditor QMS ISO approved, Fire Fighting, First Aid, Rigger, Banksman Training, HIAB Equipment's, Earth Moving Equipment's and ECITB Training, EMS (Environmental Management System), NEBOSH, etc.…
• Manages and processes gate pass applications and approvals for project sites e.g. Bahrain Airport Company (BAC), GARMCO, BAPCO, BMP, TTSJV, etc.
• Prepares designed PowerPoint presentations.
• Screens and response with phone calls and email queries carefully.
• Manage Office and Project Sites consumables and stationeries purchases.
• Manage incoming, outgoing letters, emails and call distributions.
• Minutes taker for project progress, health and safety, and transportation meetings.
